Office or Committee should send a draft of ballot to candidates for sign off by certain deadline before posting publicly. (This is to ensure that there are no errors in how the candidate is represented).

The candidates provide their names as they would like to see it on the ballot prior to the committee placing the candidate on the ballot. Not sure I understand this comment (or are you just asking that this process be better articulated?)
