Create a checklist the onboarding lead #38

I'd like a list of all the tasks I have to complete as the onboarding lead each time we have a new person join 18F. This "Automated tasks for onboarding" document and this "Onboarding setup" are good places to start.

Some thoughts on how we could break out these tasks, potentially to be owned by different people for the time being:

Onboarding mini roles

18F classes

  1. Ensure the new employee has been invited to the "18F Classes Schedule" Google calendar
  2. Keep class content up to date and useful
  3. Ping instructors to remind them of their class each day (could be on any sort of time scale but I've found that day of reminders help out a lot)
  4. Make sure new hires attend required classes
    1. Infrastructure
    2. Ethics, Hatch Act, and Code of Conduct
  5. Reschedule classes when instructors have conflicts

Dolores

  1. Add new employees to Dolores ( instructions)
  2. Keep Dolores content up to date and useful to new hires

Note: The bot is currently turned off and I'm trying an experiment with Google calendar notifications.

Handbook

  1. Keep handbook up to date and accurate

Onboarding buddies

  1. Find each new hire an onboarding buddy the Tuesday before they join and update the spreadsheet
  2. Make sure the buddy sends out the welcome email by Friday

Operational things

  1. Know of all new hires a week before they are joining
  2. Ensure everything on this list gets done but we need a better way to track it for each new hire
  3. Invite new hires to a slack channel called #newhires-MMDDYY and introduce yourself (instructions)
  4. Administer the new hire survey to folks two weeks after they join
  5. Use feedback from the survey to improve the onboarding program
