CDS (CERN Document Server) is the Institutional Digital Repository responsible for archiving, sharing and preserving scientific and departmental documents produced at CERN for the long-term.
Question: should we mention and explain finalized documents?
A non-exhaustive list of documents includes:
Publications: research papers or articles, preprints, conference proceedings, slides, theses
Reports and Projects documents: annual, yellow, projects and technical reports, committees documents
Notes and internal notes
Multimedia: photos, videos and lectures, audio
Departmental documents
Rules, Regulations and Circulars
Archives
Guiding principles
Use cases/scope
For research: CDS is a digital repository, based on InvenioRDM, that enables FAIR research (links)
For discoverability:
For long-term preservation (define how long)
When not to use
When the document still requires changes and it is not final: use CERNBox instead.
For personal documents: use CERNBox instead.
For design, drawings, technical or product documents related to accelerators and experiments: EDMS might be a better fit.
Complex review workflows: EDMS or other tools might be a better fit.
.. to be completed
Who can use
CDS is free of charge and can be used by any CERN or affiliated user. (shall we mention eligibility?)
Why
Keep documents safe, keep documents forever
Access control
Versions
One source of truth
CDS vs Zenodo
does this section make sense? It is often asked
CDS vs EDMS
does this section make sense? It is often asked
Content Policy
must be aligned with the new OC6
it should re-enforce that (to be checked) anything that goes outside CERN (publications in journals) must be approved, while stuff that stays in CDS is strongly recommended that should be approved.
