Finding Aids field #5

At the meeting on 27/5/2020, I said that I would check the ACMS to Adlib migration spreadsheet. It shows that the Finding Aids field in ACMS was to be mapped to "finding aids / + new field?" in Adlib and there is a note "Links can be split up and put in separate field. NB Rosetta integration". Migration was tested in the Conditions of Access and Use tab in Adlib. The Adlib Help message (F1) for the Finding Aids field in the Conditions of Access and Use tab appears to indicate that this is where the field normally resides in Adlib. The Adlib Help message (F1) for the Finding Aids field in the Allied materials tab does not mention Finding Aids, which appears to indicate that it may have been added by us. I wonder whether the note to split up links was an intention to put Finding Aid links into the Conditions of Access and Use tab and Transcript links into the Allied materials tab, as Transcripts are not the same as Finding Aids.

Thanks Meredith This is very helpful.

The more I think about this, the more I am convinced that after migrating records from ACMS to Adlib, the intention was to clean up the Finding Aids field by having only links to finding aids in the Finding aids field within the Conditions of Access and Use tab, and having only links to transcripts in the newly created field within the Allied materials tab, to be renamed 'Transcripts' after migration and clean-up. I would therefore not be too hasty to delete what currently appears to be a duplicate field in two tabs, but rather to consider cleaning up the data and renaming the field in the Allied materials tab 'Transcripts', as intended. Example of finding aid: see Adlib ref. code 422764 Example of transcript: see Adlib ref. code 105285

This comment relates to the Minutes for 27 May 2020: "Agreed that Finding Aid field should only be in the Allied Materials field. Glenn and Suzette to discuss links currently in the field, and then ask for the superfluous field in 'Conditions of Access and Use' tab to be deleted, after discussing the issue with Lynne."

The proposal to establish a transcript field will be addressed by DQSS and Adlib Development Group
