As a coordinator, several pain points have been identified regarding the quotation process:
Lack of communication about whether a quotation will be made or not.
Delays in the delivery of quotations; per the service level agreement with CAFAM, quotations are to be delivered within 5 business days, but this timeline is frequently exceeded.
Inadequate tracking and reporting of quotation-related statistics such as:
a. Monthly assignments per provider
b. Number of approved quotations
c. Delivery time of quotations from providers
e. Delivery time of quotations to CAFAM
f. Assignments per business line
Describe the solution you'd like
To address these issues, the following solutions are proposed:
Implement a communication trigger that sends a confirmation request three days after the quotation request date to ensure the visit for the quotation is scheduled.
Enable providers to update the status of the quotation process, including any delays or issues.
Introduce a confirmation mechanism upon the completion of each quotation.
Develop a robust statistics dashboard that provides:
a. Monthly and weekly reports for each provider's assignments
b. Weekly updates on the number of approved quotations
c. Weekly monitoring of provider and CAFAM delivery times
f. Monthly overview of assignments by business line
