Overview of Agency problems: (SUBMISSION IN PROCESS) 1) Validity Date - possible to have record without dates.

• DONE! Missing Activity IDs...Automatically assigned. Should be displayed in main form as well as pop up form. Btw, these should also display in the manual entry report form...they do in the current version but not in the test version. I don't know why it was removed.
• Agency local ID missing from Activity reference menu
• Activity local ID cannot be saved from dialog box on View form. Need "save" button.

ADMINISTRATOR EDIT FORM:

Subforms: The design of the subforms is not consistent and also functions strangely with the main forms. I wonder if it is not better to do something more like the institution form for the names...and also use buttons like "Add/edit former name set" for former names, memberships, activities and countries.

I think each of these should be managed in a single subform, not opening up many different ones to view the names, memberships, etc. The idea of a "set" is good...you should then manage everything through the single form. Basically, for each of these subforms, you should make it possible to add, edit and delete all values on a single form through repeatable fields. (You already do this in the Name subforms, you should also do it in Activity and Country.) Then you only display the values on the main form, but do not make separate links to the subform and no deletion of values.

When you have to actually upload files, like for EQAR Decisions that is different. It can stay as is.

Other bugs identified-functional:

• Validity dates: the "registered" tick box does not work well with the dates.
  • There should be some sort a yellow flag is the agency is no longer valid but is still registered;
  • On the other hand, you should not be able to save if the agency is valid but counted as not registered. Alert message: "Based on validity dates entered, agency is currently registered."
• Current name primary / Former name primary: alert message works well when no primary name is checked, but if no primary acronym is checked, then the system crashes. We really should discuss. I think that we should make this whole thing more like the institution form...see above.
• The alternative or multiple names entered into the Current and Former Name subform do not show up on the list. We need to fix this whole module.
• I think that names should be associated with a "Valid to" date at least
• Required fields that are not checked before saving record:
  • EQAR decisions; address; description note; activities; focus countries. These should be checked and an alert message produced. Record cannot be saved without this information.
  • Subform memberships: dates can be in the wrong order; cross border logic is not checked against location of agency--probably should double check the latter with Colin.
• NOT SURE: EQAR decision subform - we should double check that the file is not required...seems weird.

Other bugs identified-non-functional:

• The Primary Name/Acronym can be moved from the first field to the breadcrumb. The agency ID is not meaningful to us...and can be found in the link generated at the bottom if needed.
• As above, Activity ID (assigned by DEQAR) should at least display somewhere on this form even if it is automatically generated...I guess on the subform and main form as part of the concatenated string.
• Subform Current and Former names: the transliteration should be hidden fields. I think you did this much better in institution. Somehow the two forms should be more alike. DONE! - Every time you put the dates in the wrong order, you get an alert message that is from another module " Founding year is later than closing year." These are all validity dates, so error message should read "Validity from is later than validity to." Even better change them both to "Validity from must be earlier than validity to." and "Closing date must be later than founding date." The date message shows in the following places: subform activities, countries, (The dates aren't even checked in memberships.)
• When you "add more" phone number and email and then don't fill them, the alert is "This field is required." I think this should either not give an alert as long as one is filled, OR it should say "This field has been left empty." if it is indeed the second or third field.
• Some fields need better instructions written inside...agency website should read "Enter link with prefix http:// or https//: "; the same can be used for the document link field on activity subform; contact phone and fax should read "Enter as +(country code) number."; contact person should read "Enter first name last name"; address should read "Enter street address, city and postal code with correct formatting"; "Enter note as applicable." is used in Current name subform, but could also be used in Registration note and Specialisation note.
• The activity and focus country subforms could be more efficiently laid out...more compact. DONE! - I agree with Melinda that in general, there should be more ways to distinguish the EDIT from the VIEW records...maybe the background colour with more contrast on the EDIT so you can see the fields more clearly. Somehow you never really know where you are and if things saved.
