Hey folks, I didn't want to edit the agenda and mess it up and also we are having unusual weather, so I thought I'd provide a quick link to the Green AI Project document entry I made at https://github.com/Green-Software-Foundation/gaic/issues/6 just in case the weather gets worse.

The first comment links to the document I mentioned last meeting I would create for this meeting that provides an overview of the project. It not an end-to-end project plan but provides greater detail that we can share with others, provides some scope, and it will continue to be iterated on.

I also added a comment for the next steps to discuss at this meeting if folks are interested as well. Look forward to talking to folks about it! 🌳

MoM Creating a new project proposal for a sustainability initiative. Thomas suggests using a RACI model to clarify responsibilities and enhance communication among team members. Henry inquires about an update on the three tenets of billing and resources, to which Thomas responds that John has finished the document but still needs to confirm availability. Thomas is scheduling a call for the core team to discuss the three tenets of the project and invites others to join. Sean volunteers to create a Zoom link and send it to attendees and also recommends using an existing repository for the project.

AI position summary and resource allocation. Thomas and Henry discussed the AI project plan. Thomas proposed using the document they had as an update for the community working group and policy group at their next meeting. Henry agreed and suggested that some conversations with the policy folks could run concurrently. They also discussed the involvement of AI experts in the process. Thomas suggested bringing in AI experts once the team had a clear direction and outline rather than at the beginning of the project. He also recommended using small language models as a more carbon-intensive solution for AI projects, citing technical credibility as a priority. Henry suggested writing a document to outline the subject areas or paragraphs for the experts to react to, prioritise tasks, and focus on smaller, more agile projects.
