Book room at B&B #63

We need to book the B&B run by the german speaking guy. The website is here: http://applewoodbb.com/

This booking should probably be for 6 people, but it will depend on the cancellation policy whether we want to do that.

Sent the following email to the Best's:

Hi Chris and Linda! My fiancé Martina and I talked to you this past summer about having some German-speaking guests stay at your place during our wedding this coming September. My dad is David Biddle, and we came out with him and looked at the place and thought it would be perfect for Martina’s family! We had a few questions though, because we aren’t sure exactly how many people will be visiting from Switzerland yet. Martina’s family will be between 3 and 8 people (which it looks like you can accommodate easily) for a minimum of three nights: 9/12 - 9/14.

  1. If everyone comes, that would mean that we would be booking all of your rooms, so how far out would you recommend booking in order to ensure there is availability?
  2. If we decide to book all three rooms before we know who in the family is coming, what is your cancellation policy?
  3. If Martina’s family decides to change the dates in order to stay longer before or after, what is your policy on those date changes? Thanks in advance,

Received the following response

Hello Dwight and Martina,

  1. I would guess that 6-8 weeks in advance would be enough, but I can't guarantee it. What I can do is pencil your contact info into our reservation book and let you know if someone else is inquiring for those dates. Then you would have to decide.
  2. We require four weeks notice of cancellation to receive a refund of deposit less a $30/room cancellation fee.
  3. Adding days to the original reservation is not a problem if we have the room/s available. In the event of dropping a night, you would either pay a $35 cancellation fee or if we have turned others away, lose the deposit on the affected room, if we are unable to rebook.

Dwight, The Blue Ridge Room will certainly take 4 persons. The Quilter's will take 3 easily and 4 only if the 4th doesn't weigh over 90 pounds and is not too tall, as the cot is not a twin size mattress but 30" X 70". The frame is light weight aluminum. The room will not take 4 adults. I will also need the ages of the extra people, i.e. adult (age 12 & up) or child (age 7-11) in order to tell you what deposit is needed. We do not take younger children. As a deposit we will need either a check or we will run it on your card, passing on a 4% fee. It might be simplest if you submit a reservation online with all the pertinent info. Under special needs, mention the number of adults and children and if there are any dietary issues with anyone. I assume you know there is an extra charge for each extra person (over 2) in each room.

Dwight, The most straightforward for us is to write you a check for the $169. Sometimes the guests who are paying reimburse the person who paid the deposit and then we charge them only the balance. Either way is fine with us, assuming the inn guests know in advance about the credit card fee, which is 2% if we have the card in hand to run on our machine. Does this make sense to you? Make the check out to Applewood Inn and send it to P.O. Box 1348, Lexington, Va. 24450. Linda

Dwight, We got your deposit check for the Blue Ridge Room for the nights of Sept. 12 & 13. The balance will be $169 plus $38.20 tax. A 2% fee is charged on credit card payment. Please pass this along to your family.

Hi Linda,

Unfortunately, things have changed, and my fiance's parents are not going to be able to make it to the wedding. Her brother will still be attending, but we will need to cancel the Blue Ridge Room, and keep the Quilter's room that was booked for him.

What is the cancellation fee for this?

Sorry to hear that, Dwight. We will return your $169 less a $35 cancellation fee. Are you still at the same Cambridge, Ma. address? Linda
