Things to Think about and Do

Pre-event Logistics

[x] make a sign up sheet (on google)
[x] promote event through:
- Earthdata social media
- news announcement
- news letters
- listservs
- linkedin
- slack channels
- add banner to home repo (for next time)
[x] Understand size of audience (170 as of 2/15/24)
[x] Plan use of 2i2c compute resources
[x] Plan access/login to 2i2c resources
[x] Communicate with participants in advance of workshop: Include prerequisites (earthdatalogin, github), resources, survey
[ ] set up 'tech help' breakout room

Plan and produce Raw Content

[ ] Develop content (in progress ---- have nearly complete by Feb. 29)
[ ] Testing
[ ] Peer review
[ ] Dry run (week before?)
[ ] Finalize agenda: This includes presenters, timing, breaks etc.
[ ] Make sure needed packages are in 2i2c image/ everything runs as should
[ ] Use Jamboard for day of notes/questions/thoughts ; organize to mirror agenda

Day of

[ ] Be kind and intellectually generous
[ ] Consider explicitly discussing code of conduct and land acknowledgement
[ ] Execute plan as team; be prepared to adapt as circumstances require
[ ] Log into platform 10-15 minutes in advance to check audio quality and ability to screen share

Final Steps

[ ] (soon after) Follow up with attendees
Communicate with participants following workshop: Compile workshop resources, Encourage future engagement, upcoming events
Thank for participation
Compile content in email with links
Keep door open for questions, contact, and future events
[ ] Reflect on the event as a group, What can/ be adjusted for next time? New Ideas?

Do what can with methane plumes ..... look at time sequence, etc. caveats
they are using a STAC API that they deployed.....? how do we want to approach that? Do it outside of GHG center for now
should generate STAC catalog on ingest (if can stand up API easy to deliver)
Will learn more on March 14th Want to bring in additional layers

Check ambitiousness of webbook for GHG ........ do a time series analysis; Rob's favorite plume (a landfill in Jordan (country)). How important is it to think about 'sensitivity' of background image. in Turkmenistan?.... if they get rid of leaks, its great! Want a tool to know when the leak DC/Baltimore?

She's sending headsup emails now
Bri had / has to do some cleaning of her workshop responses sheet; the github username column had lots of bad data. There are ~50 usernames we'll need to add prior to /at start of workshop.
- :question: Do you need Bri to add the workshop form data to our main Openscapes_JupyterHubAccess (Responses) sheet asap and before the workshop? Or is after workshop ok?
Aaron and Mahsa are workshop helpers. I've invited them to AdminTeam for during-workshop Teams help
- :question: Wondering how/what setting I need to do to ensure they have Teams "Maintainer" permission. Asking because Catalina is on AdminTeam but does not show when I view role: Maintainer

I'll add more batches to workshop Team as Bri requests

please add the workshop names asap as they are cleaned up; otherwise too easy for this information to get lost
"Maintainer" - This is a second step that we'll have to do. From the Admin Team page, you click on Catalina's name, then change the Role to Owner. Then she will show up as a Maintainer.

@stefaniebutland , will you please test this process with Aaron and Mahsa?

Improvement ideas:

Consider having meeting link available before setting up signup form...... this way can reach out for a reminder; but not strictly necessary
Set up form to automatically send and email to participants providing link?
Set up automatic email reminder before event?
