Attachment metadata: additional requirements #278

We have had legal advice that when we publish our images, we should clearly state who holds the copyright and what the license is. It is something we need to be doing anyway as part of FAIR principles and our grant conditions.

Thanks to Zsuzs we now have additional metadata fields in Specify. I think we should now publish several of these as standard when pushing to GBIF (my suggestions would be: copyright holder, license, credit, date created, type/description of attachment and file format). We need to decide what some of these say beforehand (I can help liaise on that).

We also need a way of autofilling some of these fields in: specifically copyright holder, credit and license, every time an attachment is uploaded to Specify. What are our options for adding data automatically to these fields when creating attachments in Specify?

Comments from Zuzs on 16/04/2024: Regarding to autofilling part: It’s possible to set a default value to these fields (copyright holder, credit and license), so new records would include these values.

Publishing: we don’t publish this information currently, but it’s possible, so when everything is settled, we’ll implement it.

Follow on question from Pip on 16/04/2024: Would the default value also activate during bulk import/upload of images? Would it be possible to override the default values?

Comments from Fedor on 16/04/2024: We aren’t 100% sure and it comes down to a test. Image batch upload is a Specify6 feature that does not (directly) use the view definitions used for the UI.

However, Zsuzsanna believes that the batch upload will respect the default values set in the view definition, whereas I’m more skeptical.

Nevertheless, even if it doesn’t work, we can also bulk add images manually and use SQL directly to set any values in any fields we’d like.

We’re gonna try it out in the test environment and see how it goes...

BTW They’re also working on adding the bulk image upload feature to Specify7, but not sure how it will be implemented exactly. Perhaps we can add some pre-emptive feedback to ensure our requirements will be met too.

Regarding to autofilling part: It’s NOT possible to set a default value to these fields (copyright holder, credit and license) YET, but it's part of the release of Specify7 version 7.8.7.1 (2023 March), so it will be available in our new environment.
