Staff Car Parking & Permits

Measures to Manage Staff Car Parking

Due to the current levels of car parking applications and allocations, coupled with space constraints on our parking facilities here at UHS, it is with regret that we have to inform you of our need to introduce some additional measures to help manage the expectations of patients, visitors and staff using our site.

The revalidation exercise that took place in 2010/11 and introduced new parking criteria and some additional space through constructed car parks and park and ride facilities did improve the situation, and we saw reduced queues in the public and staff car parks. However, our current situation means that we can only allocate parking within additional restrictions.

Please note that Travelwise are still encouraging applications for parking during this period, which will be considered based on the criteria below.

Additional application criteria during this period

Restriction on staff on-site parking

With immediate effect, all new staff requiring parking on-site will be informed that unless they meet one of the criteria listed below they are unlikely to be offered on-site parking.

The only exceptions will be for:

* staff working after 10pm at night or starting or leaving before 6am each morning
* staff who are required to regularly travel between sites at least three times per week
* on call staff who must be on-site within 30 minutes (category A on call)
* blue badge holders
* posts which are currently identified as difficult to recruit to and the post holder meets the original flowchart criteria. These are:

       * all nurses in medicine for older people including HCAs
       * all nurses in trauma and orthopaedics including HCAs
       * pharmacists – band 6 to 8
       * obstetrics and gynaecology ultrasonographers
       * cancer care radiographers
       * all diagnostic radiographers
       * neuro and cardiac physiologists and echo technicians
       * medical physicists
       * theatre staff – band 6 and band 5 staff. Operating department practitioners and HCAs
       * neonatal nurses – band 5
       * band 7 ICU nurses
       * paediatric nurses – band 5
       * perfusionists
       * neuropsychologists
       * ward based nurses – band 5 and 6
       * ultrasonographers
       * critical care and HDU band 5 nurses
       * junior doctors – A&E, medicine, elderly care and ophthalmology
       * junior doctors – obstetrics and gynaecology
       * Trust doctors – NICU, CICU, GICU
       * midwives
       * emergency department HCAs 
       * other exceptions, on a case by case basis, for example consultants with outreach clinics. 

If you feel that your application has been incorrectly assessed an appeal review process is in place. Please contact Travelwise in the first instance (not HR) to make the request. The information will be sent to the panel for assessment, and you will be informed of the decision. Please note the decision of the panel is final.

We understand that this may cause some difficulties but please be assured that we are actively pursuing other alternatives to access the hospital.

Please note: All parking is subject to availability, as per the terms and conditions of your application.

If you are allocated a parking permit you must inform Travelwise if your address or circumstances change. Notifying HR of a change of details will not automatically update Travelwise's records.

Staff applying for a temporary permit due to exceptional circumstances (for example ill health, sick children or parents) should enclose a letter from UHS occupational health.

Staff holding a current blue badge will also need to enclose a copy.

Parking Tariffs

After listening to feedback, we arrived at a tariff for UHS staff with an option to make a significant saving through paying by salary sacrifice.

Applying for a parking permit

To apply for a parking permit, you need to complete an application form. The form needs to be signed by your care group manager or supervisor and submitted in person at Travelwise or to Mailpoint 4. You may park on site at the SGH or PAH until you know the outcome of your application, but you must obtain the staff rate tickets from Travelwise. You will receive a letter or email which will advise if your application has been successful. If you receive no notification within two weeks please contact Travelwise on ext. 4133.

A parking permit costs between £15 and £60 depending on your pay band the type of permit issued. If you work part time a pro rata amount is calculated. For UHS staff this is paid via your salary, other staff groups will pay via standing order. You must cancel this standing order payment when you leave and return your parking permit. If you change your contracted hours of work, please advise us in writing as this will effect the amount you are required to pay.

Students may park on site when on clinical placement but must still fit the criteria to park. Please complete the appropriate application form. You can also collect a copy at the Travelwise office or from the School of Medicine and School of Nursing.

Change of Vehicle

If you change your car, then please return the permit disc to Travelwise and we will issue a new disc, with your new registration.

Lost Cards

If you lose your swipe card, you will need to pay another £5 deposit for a new swipe card. We will stop your original card so if found no one will be able to use it. If you do find your original swipe card please return it to Travelwise and we will refund your original deposit. If your swipe card stops working, bring your swipe card to the Travelwise office to be revalidated.

Leavers

If you are leaving the Trust please ensure you return you permit card and disk to the Travelwise department so you can receive your initial deposit and any payments can be stopped.

Maternity Leave

If you are going to be on maternity leave, you must return your swipe card to us and we will hold your permit and suspend your payments (unless you pay by standing order and you will need to approach the bank yourself). Two weeks before your return to work contact Travelwise to reinstate your parking permit.

Parking for Courses

Departments that are arranging courses should take into account the limited parking on all sites, if possible, arrange courses on a Friday, which is the least busy day. Tickets must be pre-ordered with at least two weeks' notice. Please let the Travelwise team know with estimated attendances, especially if this number is going to be over 20.

Change of Details

If you need to inform Travelwise of any changes to your details you can do so using the change of details form.
