Reporting on Units with no youth members #162

It appears that Topo expects that every Unit will have at least one youth member in order to be able to create a report. Whilst logical, this isn't necessarily the case. Adventurous Activity teams would like to use Terrain/Topo to report on their members (often only adult members) particularly in relation to the events they have attended or the logbooks.

Hi Andrew, Working on attendance reporting on members no longer in the unit, this might sort out attendance. What other reports would you be looking at and how would you see this work? It would almost be like creating a new unit for these Adventurous Activity team members. Not sure.

Hi Simon,

I’m working with the AA teams, and the specific use case I see is logbooks. Periodically, AA team members, and other accredited adults, need to submit their logbooks to retain their qualifications. I’m seeing a situation where this can be done via Terrain/Topo without the need to explicitly submit anything.

Also, we plan to create activities in Terrain for each AA event – adding team members and participants to a Unit and then closing the programmed event, updating logbooks and OAS ‘I statements’ in the process. It will also help track attendance of team members at AA events.

In Victoria (don’t know how it works in other states), each AA team is treated like a group in their own right, and have their own Terrain formation. The challenge is that some members only belong to the AA team (group), whilst others (like myself) have a dual role – youth program via their local Scout Group plus a member of the AA team. I’m working with the Scout Cycling Team specifically, and what they have done is set up a Unit to capture all their team members – whether they are directly registered, or ‘hosted’ from their home groups.

It’s a bit complicated, particularly when you start setting up Terrain to handle events with youth as participants just for that event, but I’m confident we’ll work out a process using Terrain/Topo that will help the AA teams manage their events and team members, whilst also being able to directly update Terrain records for participants.

Hi Andrew, The inclusion of non-current members in the attendance report is available in v1.60. The Logbook report can show the log book for adult leaders. I'm wondering if the the AA team member used Topo for their AA unit, the logbook report would show all of their entries for all events.
