Background

Odoo Expense App posts all expenses paid by the company in the same journal and account.

Requirement

In some organizations, managers get a credit card for their expenses and each card needs to have its own separate journal and account for easy reconciliation.

Configuration

• Go to Accounting > Configuration > Accounting > Chart of Accounts
• Create a credit card account for each credit card
• Check the box Allow reconciliation
• Go to Accounting > Configuration > Accounting > Journals
• Create a journal for each credit card
  • Select Bank for the type
  • Check the box to transfer the liability to the credit card company
  • Select the credit card company (Amex, Mastercard, Visa, etc.)

Usage

• Go to Expenses
• Enter an expense
  • Select the vendor
  • Select paid by the company
• Submit the expense via an expense report
• As a manager, review the expense report and approve it
• As an accountant, post the journal entries --> Journal entries are created (one per expense):

• Create a payment to pay the credit card company and reconcile the entries in the payable account (A1)

• [ ] Add a many2one field "Company Credit Card" (credit_card_id) to account.journal. Filter with type = Bank or Cash.

• [ ] Extend the method _default_bank_journal_id(self):
• if the credit card is set on the employee, return it
• otherwise call super()

hr.expense

• [ ] Add a many2one field "Vendor" (partner_id) to res.partner. Filter with the supplier = True
• [ ] Extend the method account_move_create(self):
• if the payment is made by the company and the credit card is set on the employee
  • create one journal entry in the credit card journal with the partner_id of the expense
  • post the journal entry
• otherwise call super()
