Proposed New Meeting Time #36

Some possible times for our upcoming meetings Order of Times are New York – Amsterdam – Sydney – London Screen Shot 2020-10-07 at 4 42 03 pm

I picked out these two times but please feel free to suggest other times from image above. Full link

New York 8 am – Amsterdam 1 pm – Sydney 11 pm – London Noon OR New York 3 pm – Amsterdam 8 pm – Sydney 6 am – London 7 pm

For me both times are OK. For the Netherlands summer time ends at 25-10. Is that the same date for the other countries as well?

Yes, happy with either, but slight pref for the first (middle of the day). Not Fridays. Yes, end of daylight saving is about to ruin many calendars... But I think we just go ahead and schedule an hour a month at the outset - so an invitation with a link for the next 12 meetings. Locked in. Next one beginning of November?

@fantasy121 shall we lock something in? Could do Nov 10th at 12 noon for example. But let's lock in the next few meetings, and whoever can make it can make it?

I forgot to clarify that the above times are for ONE of the two alternating meeting times. As discussed in our latest meeting, we can take turn with less-favourable meeting times. I was going to say alternate the above time with our old meeting time but daylight saving messes things up in the long run. As the favourability meeting time for Sydney usually clashes with everyone else, I'm proposing the alternation of meeting time like so:

Time A: New York 8 am – Amsterdam 1 pm – Sydney 11 pm/Midnight – London Noon (early day for USA; day Netherlands and UK; night for Sydney) alternating with this time Time B: New York 3 pm – Amsterdam 9 pm – Sydney 7 am/8 am – London 8 pm (day for USA; evening for Netherlands and UK; early day for Sydney) This will be stable for the next five months until the end of February 2021.

For the long term, taking into consideration that daylight saving may push time forward/backward throughout the year so it would look roughly something like follows, depending on the seasons:

Time A: New York 7–9 am — Amsterdam noon–2 pm — Sydney 10 pm–midnight — London 11 am–1 pm alternating with Time B: New York 2–4 pm — Amsterdam 8–10 pm — Sydney 6–8 am — London 7–9 pm

Does this sound okay with everyone? This makes setting up regular meeting times less of a logistical nightmare and gets us all in a routine.

Meeting will be the fourth Tuesday of every month (except December where it will be 15 Dec 2020, to avoid Christmas/NewYear) Can potentially also make Time B one hour earlier so the Dutch and British times are not too late as well. Time B (adjusted) will look like this: New York 1–3 pm — Amsterdam 7–9 pm — Sydney 5–7 am — London 6–8 pm

Hi @fantasy121 go for it, lock it in by generating a zoom invite or equilavent. Maybe send the invitation to everyone here by email so that it goes into calendars directly and to avoid any time zone snafus. First one Oct 27th?

Ok. I'll lock in next Tue 27th Oct meeting time for eveyone GMT 12:00 – New York 8 am – Amsterdam 1 pm – Sydney 11 pm – London Noon, refer to here. I will also be collecting emails in that meeting as I don't have everyone's email addresses to send out calendar invites at the moment. Otherwise, if anyone has the full list of contacts please email me and I'll send out the monthly meeting calendar invites right away.

Please also double check your own timezone based on GMT to make sure I have'nt made a mistake.

Is it possible at all to create an .ics file? And maybe a URL for google users. That way it will be adjusted automatically to the timezone for each individual who adds it to their calendar and anyone who would like to attend can add it to their calendar without @fantasy121 having to send out an invite.

Here you go. Link to .ics files are here. Please save BOTH file to your calendar, otherwise it will be bi-monthly meetings for you. Alternatively, please give me your emails next Tuesday and I'll send the invites to everyone. Monthly Mycetoma Community Meeting Zoom ID 992-8154-9497.zip The schedule will include Dec 22nd Meeting as well but I'm going to preemptively cancel that meeting as that is Christmas/Holiday week. I cannot make an exception for one meeting in the iCal schedule. So please feel free to remove that meeting occurence. Please also check that your times look okay. I can only see Sydney times and the UTC reference used by Outlook to create the .ics file looks different from the UTC reference from the link above so the times might be of by +/-1hr in your time. Also as I made bookings in Sydney time, one of the two meeting time occur at midnight in Sydney so please double check to make sure that I'm not putting the day of the week in incorrectly. I have checked it on my end.

TL;DR please check your meeting times and if it looks drastically different from the above highlighted timeframes, please let me know

I added them in my agenda. The meeting in november is on monday the 23rd at 21:00 our time. That differs from the schedule above but is also fine by me.

Great, thanks @fantasy121 I imported the ics's but I'm not seeing a meeting scheduled for Oct 27th? Am I wrong/going mad?

For me it was scheduled when I imported them. It is on 13:00 european time.

@mattodd I am facing the same problem. I think the first 'bi-monthly' meeting schedule file isn't working for me. I do not see Oct and Dec.

Also as noticed by @wwjvdsande, the '2nd' meetings are on Mondays instead of "Every 2 months on the 4th Tuesday"

Take 2 - updated so that '2nd/Time B' is on Tuesday's and hopefully will have the meeting time for October meeting. On reoccurrence for 1 year.

Is anyone starting an agenda for today (e.g. in a new issue), or does anyone have one already? Action items are in #35. Maybe alongside the newly-booked slots for the meetings we could have a rota of responsibility for posting agendas/notes?

Would everyone be happy for us to move these .ics files and URL links to the readme for Series 1 with some info on the meetings and the Zoom link? I think it's a nice central location of this admin type information. Then we can close this issue.

In my agenda it is displayed as being a meeting, in other the meeting is not displayed. In last meeting the meeting of december was not mentioned, the on in January was. Will we meet tomorrow yes or no?

@MFernflower @wwjvdsande @fantasy121 @bendndi @Wilson-Lm @Mickey-Konings Nothing in my diary, and I'd suggest we: 1) Have the next meeting in January. It feels like we are in need of some data analysis in the meantime. 2) Refresh the .ics files so that we're all on the same page for the meetings for 2021. Would someone be happy to take care of that?
