[LOW LOW PRIORITY] Volunteer Portal: REQUIREMENT STATUS - Background Check Prompt & contact email needs to be changed! #75

Open dreazee opened 2 years ago

dreazee commented 2 years ago

@JasonTheAdams EEK!! So under User's Profile under BACKGROUND CHECK, if Background check isn't up-to-date the following message is seen: "Your background check did not clear. You are not allowed to tutor with us at this time. If you have questions about this at all, please contact boardmembers@sdrefugeetutoring.com" link here: https://sdrefugeetutoring.com/volunteer-portal/requirements/

This message is seen by any past user who's background check status was not reset. So this is highly confusing and incorrect information. Please change to: "Your background check is not up-to-date so you are unable to tutor with us at this time. For more information on how to start a new one, please contact: info@sdrefugeetutoring.com"

@dreazee There are five states that the background check can be in: Status Reason for seeing this
Passed Volunteer has gone through the background check and it came back as passed.
Failed Volunteer has gone through the background check and it came back as failed.
Cleared The background check status was reset for a new year, so they need to do another background check.
Invited Volunteer has triggered a background check and has been sent the invitation to start the process.
Pending Volunteer used the invitation sent to their email, filled it out, and now Checkr is doing their thing.
Here are the messages I have assigned to each status: Status Message displayed to volunteer
Passed Your background check has cleared! Thank you!
Failed Your background check did not clear. You are not allowed to tutor with us at this time. If you have questions about this at all, please contact boardmembers@sdrefugeetutoring.com
Cleared Your background check has cleared from the previous year and needs to be renewed.
Invited You have been invited to take a background check, and your status is still pending. You can check your status on the Checkr website: {invitationUrl}
Pending Please request a background check to begin the process.

First, are there any messages you'd like to adjust?

Second, what you're saying here shouldn't be true: "This message is seen by any past user who's background check status was not reset." It should only be shown to volunteers whose background check specifically failed. Is there a user who is seeing the message that didn't fail? If so, which user?

Thanks!

@JasonTheAdams EDIT:: Let's put a pin in this and go over this later... Nothing needs to be changed right now since I fixed the issue with anyone who had that Failed message displayed and there is no way that message will ever be seen again. There might be stuff here that needs to be changed - like adding another status that Checkr can trigger on the User Profile, but everything has been working fine with no confusion and I don't want to mess with anything of this caliber at the start of the tutoring year when there are so many other tasks to be taken care of.

First: FAILED. Email should be info@ or andrea@ It could be andrea@ since they are already registered and logged in. I had asked Melissa about that boardmembers email address to clarify that and she didn't know. But I have always dealt with background checks. All the rest look great!

But in thinking about this further... Although there may be 5 different states the Background checks can be in via Checkr, there are only 4 Background Check states that I have ever seen added to the User Profile listed on the main page (not when actually going in to their user account):

  1. Yes - thru Checkr
  2. Invited - thru Checkr - we do not differentiate between "Invited" & "Pending"
  3. Cleared - manual
  4. No - since Cleared has been implemented, this is non-existent except for Leadership Roles whose background checks were never messed with.

There are three manual states that are available to be chosen on WP/User Profile and one by Resetting the Background Check. This is what triggers the Status display in the Portal. 1st three are from drop-down menu on User Profile:

  1. No - This volunteer has not yet registered. (=FAILED message displayed)
  2. An invite has been sent but we do not have the results back. (=Invited message displayed in Portal, but this is a Pending status on the Checkr website)
  3. Yes- There is a passed background check on file. (=Passed)
  4. Clear - by resetting the background check

I hope this makes sense. I realize I should have included screenshots but it's late and I want to go to sleep!

Second: Mine! It was also Becki Wallies but I Reset Volunteer Requirements and now the "Cleared" message displays. The FAILED message is/was being displayed with the NO but I cleared any non-leadership user's profile so now the CLEARED message is being displayed instead of the No display/Failed message.
