Getting the most out of the afternoon discussion #9

With up to 100 people coming, we really need to be organised in how we run the afternoon discussion session. The techniques we have so far are:

We have used Padlet a few times in the library/orei as a way to collate questions eg https://padlet.com/Sharron_Stapleton/authorqut. I'll ask around about other platforms. I really like the idea of having a qualitative researcher to facilitate. The other way of capturing ideas that I like is in pictures - which some people seem able to do in real time

Also I see that the World Cafe includes Graphic recording - which is what I mentioned above http://www.theworldcafe.com/wp-content/uploads/2015/07/graphicBenefits.pdf Might be worth asking if any of the participants do this - or there seems to be a community of people who do this http://www.theworldcafe.com/key-concepts-resources/graphic-recording/

I had a meeting with the facilitators John and Karen today. Here are our ideas which will be refined by e-mail conversation.

We will start with the eight or ten most popular policies that came out of the questionnaire. Groups will then be assigned a policy and asked, "Based on what you've heard today, please list the benefits and risks of this policy. Are there ways that the benefits can be accentuated and the risks minimised?" Groups will be given 30 minutes to brainstorm. We'll then have 30 minutes for reporting back. We need to decide on eight or ten policies based on the amount of time needed. More policies means smaller groups which allows more people to get involved, but will take more time.

At the end of the meeting we will have a 15 minute session from two or three people from policy where they reflect on the proposed policies and how they might be taken forward.

It's going to be a balance to make sure there is enough time for reporting back. Do you want to have two or three policies come out?

Ideally we'll have two or three "winning" policies at the end of the day that would be worth pursuing. I hope it won't be too rushed to get people to report back in such short time frames. With 100 people attending, we need to break them into reasonably small groups in order to let them contribute.
