Amy,

Has there been any progress since the 8/4 meeting?

Has MOIT submitted the proposal/scope?

Alan, Dian, and I met this morning and developed the attached workflow for fire flow tests for your review. A couple of comments:

  1. Notice two names in each box. The first name is the primary responsible person, and the second is back up. In the case of Clark, Vineca will act as primary backed by Dian until Clark gets back to OAM.
  2. All upfront clerical, including creating the work order as NEW, will be done by Clark.
  3. All field work and back end clerical will be done by the WAO, including attaching the test to the right assets and closing the work order, supported by Dian.
  4. Notice 5 day duration between payment received and submitting to Fiscal. The thought is that checks will be delivered to Fiscal once a week, unless we get high number of requests, in which case two deliveries will be made in a week. This will go away once on-line payment is available.

Please review and comment. Once the workflow is finalized, we should develop an SOP, review/train the individuals involved (including Fiscal), and implement.

New web applications cannot be added until The City is upgraded from the current D2 Platform to V4. This upgrade is not currently scheduled And there are several apps that already need to be added before Fire flow tests requests. We can discuss in more detail when I return.

Janice and Frank, DPW needs to add an online service/payment for fire flow test requests. Is there an SOP for how to request the payment item? I understand that there is a backlog of these requests, but we need to at least understand the process and get started. Let me know if you can give me guidance on this. Thank you,
