Ministry asset collection tools #80

Populate list of all Ministry IMB/ISB tools used in collecting assets.. excel, servicenow, jira, etc etc.

  1. MFIN - SPREADSHEETS  (interview with GregBritton Feb/23) "spreadsheets" Also is an inventory of "Financial Systems" from across gov in SHAREPOINT. This might imply some duplication with other inventories that hold ministry-specific app metadata (where an app that is a financial app belongs to a non-MFIN ministry.)  
  2. ECON - SPREADSHEETS (to ServiceNow) (Christian Baerike) Excel is used to track apps but moving to ServiceNow  
  3. Forestry IRS (Custom) (Michelle Douville , October 17, 2022) The IRS, a custom (Java) app 15 years old holds the inventory (stale)  
  4. CITZ IMB - SPREADSHEETS (Grant Graham October 18/22) Excel (stale) Also Justin Hewitt, Craig Shutko Hosting ServiceNow  
  5. MCF / SDPR  - ServiceNow (some still in SharePoint) (Steve Hunter, Fred Wen, John Lemelin, Leo Lou October 18/22) ServiceNow (high level inventory) also "old stuff" in SharePoint  
  6. AG - ServiceNow (and Confluence) (Craig Randle, Jill Adams, Kelly Derrick October 24/22) "18 different sources of truth"!  ~350 apps Working towards ServiceNow and Confluence   Brian Price (CITZ Hosting) We don't track apps, just the hardware.  We don't know what apps are where. They use Excel to keep track of app contacts.  "Bob's gone. Who's the new Bob?"   Sherri Proceviat ServiceNow owner in AG Richard Fremmerlid is tech (IMB) contact  
  7. PSA - n/a (October 28, Ian Hennem, Jennifer Todd, Peter Velinov) Telus provides lists when asked.  (Most of apps are outsourced.)  
  8. TRAN - SharePoint (less so SPREADSHEETS) (November 7, Alex Ritchie, James Munro) 150-200 apps Sharepoint list (Excel for analysis)   Note that the BC Data Catalog today holds information about some applications.  There is a desire to hold only data-related data, not application metadata.   The SaaS team uses AirTable for the SaaS metadata.   NRS  (See Forestry, up)
    • Jeremy Balliston Something called IRS tracks application metadata today.  Its an old system, 20yrs.  Recently, a PoC of Atlassian's Allyssum (couldn't find information on this product/solution in the public domain).   MFIN - (Atlassian) Jira Service Management (Melinda McClung Nov.16/22) Note an application's DATA must be considered from the very beginning. It has a lifecycle, like the application. At that time, MFIN was procuring an ITSM capability, with an asset tracking feature, as well. Leaning toward Jira Service Management.  NOTE also, "There is a Sprint with Us to build a metadata catalog for datasets."  (Can we expand the use of this????) Note also there may be critical systems, but there is also critical information, and there may be a relationship.  
  9. HLTH - C55  (Stephanie Lee Nov.16/22) C55 There are plans to use ServiceNow CMDB  
  10. ECC - tbd (Laura Hutchinson Nov17/22) CMDBuild (John Chow) "Map of Holland" shows the whole picture .. (Peter Holland)  
  11. AEST - SharePoint (Ron Warden ) Sharepoint inventory, but data's stale.
