OCM - PPR Go Live - Product how-to videos for users (deadline: January 7)

This is due to time constraints, the Asset team will record user videos of PPR functionality in lieu of hosting user information/training sessions. Videos will be uploaded to Resources CMS site and info on videos/resources will be communicated to PPR users via mass communication, BCOL announcements, and mod site post.

Breaking down PPR functionality by topic allows videos to be short and users will be able to watch videos relevant to their role in using PPR. Business Analysts on the Asset Team will record videos on PPR functionality by topic. Change management team will assist in uploading videos and communicate to users about resources made available for the new PPR product.

Video recordings by function:

• [x] Search; choose exact and similar matches, generate reports, open PDF report
• [x] Register a financing statement/lien (how many videos in this category? Security agreement, repairer's lien, etc.)
• [x] Amend registration
• [x] Discharge registration
• [x] Renew registration
• [x] Retrieve a registration and add to your table
• [x] How to use and customize My Registrations table

(Re-registration has been deleted from here as that is not functional yet and will be launched after go-live)

Goals: • Record PPR videos end of December • Upload videos to CMS following recordings

@trishreimer data in TEST is a copy of the data in PROD from a bit back, so real. Demo's have been completed so far using TEST data, and we identify it as test using a mark on our outputs. There isn't an easy workaround to prevent showing this.

@Amitisp you are making great progress! In a touchpoint today with @magszymanski some changes were discussed for the 'Registration' video. Mags will touch base. I'm around tomorrow too if you have any questions afterwards.

The How to Retrieve a Registration the video felt ready. The only suggested change is to update the script to include how to customize 'My Registrations'. This was included in the Registration video but it feels like a better fit here.

@magszymanski Is there value in sending to Olisa/Joanna for feedback too so if they have suggestions we can ensure they are incorporated?

Hi all, I took a look at the Registration video and it still is missing relevant information which is a bad on our part. Thank you Amitis for putting in all the work - I leveraged your script and expanded on it to recreate the video.

With search and registration done, we are in good shape as those are the two most used functions in PPR.

@Amitisp @mstanton1 -- I will be including a link for these videos for BCOL PPR users in my next mass communication that is going out on January 11 to 3500~ users so that they can begin seeing the new PPR functionality prior to release date -- which makes me realize that we should have them done and uploaded (to YouTube and then to CMS by Gen) by that date. We do have Search and Registration complete and Amitis is finishing up Retrieve and Customization today. That leaves Amend, Discharge, Renew.

Now I am thinking we will need them complete by Monday at the latest so there is time to upload them to YouTube (James is in a new role as of today and i still haven't heard back from the person who replaced him about my previous request to upload Registration). Gen can then upload to CMS and users can view by the time they get the email.

@Amitisp thanks for providing the fourth video (Use and Customize). The one thing I noticed is in the "what we will cover" and conclusion slides where you have "Customizing the" italicized. Let's wait for @mstanton1 to have a look before making changes in case she has more feedback. Melissa, not sure if it's worthwhile to actually add/remove other columns in the table to show how easy it is to customize.

The first four videos have been reviewed. Information is accurate and a value add to end users. Please have them uploaded to YouTube to share. It is still valuable to collect feedback/provide to business leads now, but with the awareness that unless critical many opportunities for enhancement will be addressed as time allows (possibly not to be done before go-live).

@Amitisp @magszymanski I've reviewed the last three videos and they look good. For Total Discharge it would be beneficial to re-record when the project team completes the change to hide the 'Re-Register' button, as seeing the Re-Register button might add confusion for users. For Registration Amendment there are a few suggestions that could be addressed now but also some pending changes from the team. Lets discuss how this was recorded and the best approach for that video.

My feedback is below:

Renewal video

• great pace, clear language, and good video quality
• when identifying where 'My Registrations' is rather than referring to it being at the bottom of the page it would be helpful to refer to it being at the bottom of your PPR Dashboard
• row for renewal doesn't have 'Renewal' in type. This might be a bug as we show discharge and amendment. If capacity at a later time, we could resolve and re-record so the UI is more intuitive

Total Discharge video

• when identifying where 'My Registrations' is rather than referring to it being at the bottom of the page it would be helpful to refer to it being at the bottom of your PPR Dashboard
• at the end when noting no actions are available it might also be helpful to draw attention to the fact that the status for the base registration has been updated to 'Discharged'
• currently re-register won't be available. The script notes there are no actions on the discharged registration but there is an issue in the current UI where the 'Re-Register' button is showing. Bug 10299 was created for this and is expected to be fixed in the next two weeks. This may cause confusion so it would be valuable to re-record when fixed, if possible.

Registration - Amendment video

• audio seems clear at the start then clicks close to a minute and sounds fainter. Note audio does come back to high quality. Is this video recorded in sections and if so could the second section be re-recorded for sound quality?
• page titles will be updated (e.g. I believe Registration Amendment will become just Amendment). I will need to locate that ticket and when complete it would be helpful to have that showing
• around 5 minutes when showing the general collateral and how the undo button appears after an entry is amended / amended label is displayed the UI shows a scrollbar. This only occurs in a percentage of screens due to smaller size. Is the window being shrunk during the recording or is the window expanded and this is due to device? Having this show without the scroll would show the design as intended and as it will work for 90% of users (down the road being updated to hit 96% of users).

I like the idea of creating a new ticket and leaving it in backlog for now. We should include Melissa's notes in there from this ticket that she added 7 days ago, and note that current videos should circulate through our service desk and business staff for review a few weeks after go live, giving them a couple weeks to review before making changes. @Amitisp I can create this ticket or you can, let me know.
