BA - How does search for Corporations work when modernized #22540

When the BC Corporations release takes place BC Corporation filings will be completed through the modernized BC Registry system. Searching will also be completed through the modernized BC Registries system.

-Currently you can search all entities in the modernized system but if they are not a modernized entity type there is an icon that says to go to BC Online for documents. This will be updated to be an 'Open' link

Questions

  1. When a entity type is modernized can you access paper based filings (e.g. a registration) that was completed in the legacy system or is it only the corporate summary?
  2. If you cannot access paper based filings what is the current process (note: in test it said to go to BC Online or contact staff when we looked up SP documents but the intention is that BC Online would not be used for searching after the release). Verify that SP's cannot actually be searched in BC Online. Image below. If we don't allow search in BC Online we will need to update the wording on this page.
  3. Work with the home team (contact Michael Kagis) to see if we can pull any metrics on searches done in the last year for BC Companies. Can we get a count of how many corporate summaries were requested vs. how many older filings were requested? Goal is to understand possible impacts to staff. If BC Online is not available and the new system does not allow a user to purchase an old filing (other than summaries) then these requests would all end up with staff and we need to ensure they are prepared to handle the volumes.

@mstanton1 When an entity type is modernized paper based filings cannot be accessed and its only in the corporate summary. BC Online is not being used for SP search and the only way is to contact the staff for documents. I have connected with Michael Kagis on the metrics. Once I receive a response will update the ticket.

Thanks for the information. For #1 if we can only product the Corporate Summary we will need to dive further into how legacy documents will be produced. BC Registries is required to be able to provide access to those documents. I found that David McKinnon had started this review noting: One of the co-ops created a script that goes into COLIN and generates all the outputs and saves the PDFs to google cloud. I need to follow up w/ Thor to confirm the state of that project and how far he got. We are planning on visiting that as part of our data migration work. I don't think we did this for SP/GPs, but I have not had a chance to look.

I can follow up with Thor and provide an update.
