Notify existing users on Mainframe that there will be a new Director Search (CM) #2700

@trishreimer - do you want to check w. Loren and update this task? - It possibly might be released end of March ... - and how do you track it for you?

Message for mainframe drafted. Process set up to identify users who are currently using this service.

In addition to the message posted on the mainframe, I would suggest we send an email to the users and include:

Email will be sent to a few users at at time, until all users have migrated to the new application.

A NEW ticket should be created for this email.

@trishreimer @amit4610 do you know if a new separate ticket was created, for the email you mentioned in your previous comment? I can make one for you, or i can link the existing one to this ticket

HI @Sienna-Blumstengel & @amit4610 I discussed the Director plan with Loren on March 19th. Here is the updated plan. Note: Tickets have not been created for any of these tasks.

  1. Director Search - Initial Launch March 31st Invite to users: a. Trish to draft note – this note will be sent to users who participated in UX (completed - see sharepoint for draft - link below). b. Loren to send to select users. c. Set up spreadsheet to track who has been invited. (can Amit do this? Maybe Bob?) I have some data from Julie, users are also contacting me & Bob. d. For go live, Product Team (TBD) will set up account, invite one owner. e. Feedback – all feedback from users will go to Amit who will review and create tickets in zenhub. f. Continue this process until all users who have participated in UX have been invited.

a. Subsequent Launches – invite other users who have not participated in UX. i. Email - create an email asking users if they are using director search. Trish to follow up with Bob to see if we can find email addresses, if not, we will wait for them to reach out to us. ii. Draft email with instructions for these users - Trish iii. Mid-July – cut over date for new application iv. TBD – who will set up these accounts? Who will collect feedback? (Loren – decision needed) a. We expect there may be a higher volume of users needing access when we cut off service, so we will ensure the support team is ready to support users. (Trish/Loren)
