Bringing people on-site at CERN is tricky, we need to register each one.

A possible room that requires less administration and is very cool is the Globe.

So, I found out that the Globe might not be the best solution. I don't know whether the recent restoration work involved the auditorium in the Globe or not, but, if it didn't, that room is not quite suitable as a workspace with laptops (needing charging and a comfortable desk space). It's more suitable for talks.

A better option might be the council chamber --> great work space, charging + microphones, layout that encourages interaction and group work, ...

For that, we would have to have guests register with CERN at least a couple of days in advance to get access to the site. Not a problem, but it needs to be done.

We will need volunteers to lead groups of participants from the visitors entrance to the council chamber.

(It might also solve the food problem: we can have participants eat at R1.)

We would have to check the room availability and book it ASAP if we plan this on a Friday.

We will also have to instruct participants to register their laptops in advance to be fully set up to use the CERN wifi (unless they have eduroam).

Sounds like council chamber is indeed a better choice. We could use the smaller rooms there for smaller sessions that go on in parallel.

I could ask Francois Grey how they organise meal vouchers for R1 during the webfest.
