The PI or other org member would have to fill out a form within BIL, indicating that tapes have been sent to us. This would ideally record:
- Organization information
- Name of the sender who is processing it
- exact quantity of what that shipment contains
We've received requests from NIH for provenance information that we are not recording -- particularly concerning data submission from tape.
A more general solution might be to create a status log table that keeps track of the provenance information. Perhaps something like: Date/Time Person Event Project Collection (dataset?) Notes
Events might be: (tapes) MailTapesToBIL ReceivedTapesByBIL ReadyForQC MoveToCollection
