Design for Board converts unscheduled Travel Board hearing to video or virtual #12826

User story

As a Hearing Coordinator, I need to be able to convert the type of an unscheduled Travel Board hearing to virtual or video, so that the hearing can be scheduled in Caseflow.

Success criteria

From a user experience perspective, these designs will be successful if Board staff can quickly and easily change an unscheduled hearing request to virtual. We'll know the redesign is working if we observe that Board staff understand the flow in usability testing and/or observation.

Case 1: Travel Board to Legacy Virtual

  1. Where "Hearing Type" is Travel, the "Actions" drop-down menu inside the "Currently active tasks" section should display:
    1. Two options: Convert hearing to video and Convert hearing to virtual
  2. Select Convert hearing to virtual
    1. A full-page opens. It displays the following:
      1. Title: Convert Hearing to Virtual
        1. Subheader: The hearing request will move to the Nashville regional office scheduling queue. Email notifications are not sent until the hearing is scheduled.
        2. Divider line at bottom
      2. Second header: Veteran Information in VBMS
        1. Label: Veteran name
        2. Label: Veteran email
          1. Underneath if the Veteran email is blank: Yellow warning message box displayed: Warning message here
        3. Divider line at bottom
      3. Third header: Power of Attorney in VBMS
        1. Label: Service Organization
        2. Label: POA/Representative Email
        3. Divider line at bottom
      4. Notes field titled with "Notes"
        1. Link to AC's for Notes Field
      5. Submit button at bottom right: Convert Hearing to Virtual
  3. After submitting the page: 
    1. Success alert at the top of the page: "You have successfully converted [FIRSTNAME LASTNAME]'s hearing to virtual" with the subheader: "The hearing request was moved to the [location] regional office scheduling queue.
    2. In "Case Timeline"
      1. New step in the timeline with green check mark: "Hearing type converted from Travel to Virtual
      2. To right of check mark: 
        1. Gray Text--> "CONVERTED BY:" [COORDINATOR NAME] <--black text
      3. To the left of green check mark: 
        1. Gray Text--> "CHANGED ON:" [COORDINATOR NAME] <--black text 
  4. From case details page with the "You have successfully converted hearing to virtual" success message at the top, click on the "Actions" dropdown menu in the "Currently Active tasks" section.
    1. Options in dropdown menu: 
      1. Schedule Veteran
      2. Convert hearing to Central Office
      3. Convert hearing to video
      4. Add admin action
      5. Put task on hold
      6. Withdraw hearing
    2. Select "Schedule Veteran"
    3. Full-page  "Schedule Veteran for a Hearing" opens
      1. Subtitle: Email notifications will be sent to the Veteran and POA/Representative.
      2. Drop down menu with title "Hearing Type":
        1. Virtual
      3. Divider line underneath dropdown menu
      4. Drop down menu with title "Regional Office":
        1. [REGIONAL OFFICE LOCATION WITH CURRENTLY SELECTED AS DEFAULT]
      5. Label Title: "Hearing Location"
        1. "Virtual" on a separate line underneath (if scheduled as virtual, which it is)
