Reviewing October 2018 Mail SOP and August 2018 Mail Assignment Sheet
Some mail types have auto-assignment. Requiring mail users to add in the destination of the task for AMA mail tasks could be a risk, since they haven't had to do this before.
Some mail types are processed by specific people. These are likely good candidates for initial pilots, like AOD motion mail.
Mail sources (fax, etc.) are important for Congressional Inquiries, per Nina and Theo
There are instances when the mail is related to appeals that are not in BVA's jurisdiction. This should likely continue in VACOLS
Mail management folks need to be able to change addresses in VBMS/BGS. Currently, they correct Veteran addresses in VACOLS when they receive Change of address mail - Aug 2018 mail instruction (not included in Oct 2018 instruction)
Mail team members look at diaries to see if anyone is waiting for mail, so they can route it to them. It's possible that Case timeline can serve this purpose. If there is no "diary" waiting for the mail and it is not one of the auto-routing or exceptions outlined above, mail is routed based on where it is in VACOLS.
We can likely route to the organization that has the most current task (except for attorneys/judges, where we'd route to VLJ support mgmt branch mail POC

Ebert Temporary Transfer – There is no longer a request for these as these were request for physical files to be transferred back to AOJ. This will not be useful going forward.
ECA – This pertain to the Expedited Claim Adjudication cases that became appeals at BVA. As this process no longer exist, it may not be useful going forward.
Appeal pamphlet – Veterans continue to mail the Board pertaining to understand the appeal process. Although receipt of these are limited we can consider keeping these. We just have to figure out 1) who will be the responsible party issuing these pamphlets 2) consideration on changing the current pamphlet as we are going under AMA.
Emailed Heather to ask if we need to do a demo with union. This is the only process blocker before providing training and rolling out.
Update: best case scenario, we release to the 2 mail pilot users the week of monday, december 17. that week, we will shadow each user and observe their workflow creating mail tasks. tbd on who from our team will be sitting with them, but we want to do this to mitigate risk of missing any issues.

Background
Veterans and appellants send in all different types of mail at any point in the appeals process. Mail is typically sent to the central mail processing center in Janesville, Wisconsin. Mail comes into the VBA or BVA P.O. Box. Employees in Janesville upload the mail in the Mail Portal. If the mail is for BVA, BVA employees process it in the following way:
We need to build a way to create these tasks in Caseflow so (1) the mail team can create and assign tasks and (2) so other Board teams can create and assign tasks from these mail tasks.
