Privacy Team need to be able to indicate whether a task in Privacy or FOIA (FOIA tasks are managed in a different system FOIA Express)
- How about we map out some of the options here. If they want all tasks to be called "Privacy", this might require the Privacy team to "edit" the task name to better clarify what the task is.

I think we've gotten this request for Reader before - page count vs. document count - because some documents in VBMS have quite a few pages within them that are only counted as one document. I don't think we have the ability to do this, but it could be a question for Mark.

Thank you both for your time this morning to chat through some of the details of your team starting to use Caseflow. Three key things we agreed on:
Both Legacy and RAMP Appeals Privacy Tasks will be worked in Caseflow starting with Meg, Jessie, and LaToya. a. We’ll touch base on a weekly basis to ensure the work load is manageable. b. You’ll let me know when you’d like to have the full Privacy Team using Caseflow. c. You’ll also let me know if your Team would like refresher training and we’ll get that scheduled as quickly as possible.
The Notes field in Caseflow will be used to capture Task Actions. The photo below is a screenshot of what these look like in the VACOLS dropdown you use today:
I’ll work with you every week to get an adequate productivity report prepared.

VBMS Request: would like to be able to have a FOIA/Privacy Response (rather than Request which is the only thing available) in the Document Category - Type:
dropdown. This should go to Shawn for now.
[x] Q: lag time between upload to VBMS to showing up in Reader. A: according to Holtz ~3hrs, so a business day at most.
[x] Q: timing to get Queue functionality to Privacy team. Interim answer 2 weeks from now i.e. 12/14.
[x] Q: timing for Teams to be able to assign to other teams, specifically: Privacy assigning to VLJ Support or an Attorney

Re: lag time between upload to VBMS and showing up in Reader. I don't think there is a lag btw VBMS and Reader, but there is a lag btw upload in Mail Portal to VBMS. Reader and VBMS should be instantaneous

Re: timing to assign to other teams - is this like assigning completed tasks back to VLJ support? That should be possible with this first pilot release for them. I'd be curious to know how often they are assigning cases to attorneys today - I didn't hear about them doing that in our research.

We wanted to double-check something with you please: should open tasks assigned to the Privacy team, like a FOIA request or Privacy Act request, prevent a case from being distributed to a judge? Or should this just prevent a case from being dispatched?
An open Privacy Act request will stop adjudication until it is closed. It seems to me that there is no reason for distributing the file if they can’t work on it. It is not the case that they can continue drafting the decision while the PA request is pending. I think the only reason they should have it is if review of the file located an open PA request. In the current system, in that circumstance, co-located support staff put the file in abeyance. A FOIA request does not stop adjudication, but, as we have discussed, if anyone is able to assign the Privacy Office a task, any information request should halt adjudication until the request itself has been reviewed and ok’d by Privacy Office staff. Which brings up a question. Can all inputters of Caseflow tasks be limited to assigning them to Jessie or a non-specified Privacy Office list? No one should be able to assign tasks to [individual Privacy Team members] except Jessie or me. If Jessie and I are both getting the incoming un-vetted tasks we run the danger of one, or both of us missing some. Without the VACOLS mail tab designations I think it would be helpful to us if incoming tasks from those outside of the FOIA/Privacy Office were limited to being characterized as “Information Requests,” or “Information/Extension Requests.” Please let me know if that is workable. Thanks for your help.
Right now, yes, people can assign Privacy/FOIA tasks to the Privacy Team as a whole, not individuals. From there you and Jessie can assign to individual team members. We discussed starting with LaToya so that we can see how things go. I plan to touch base with all 3 of you this week as you start getting cases in Caseflow to see how things are going first hand. Happy to swing by to discuss if that would be helpful.
