Content, accessibility, information architecture (CAIA) new initiative collaboration request

Use this ticket to request collaboration on a new initiative with the sitewide content, accessibility, and information architecture (CAIA) team.

About your team

About your initiative

MHV notification settings/preferences are gradually migrating to VA.gov. We've worked with CAIA for the current verbiage for the health care section but we've been asked to incorporate additional preferences to track if a veteran has opted in to receiving appointment reminders that include PHI/PII.

Current page:

Additional content we need help figuring out:

Health care

Health appointment reminders :black_square_button: Notify me by email

:black_square_button: Include personal health information in unsecure email message

:black_square_button: Notify me by text

:black_square_button: Include personal health information in unsecure text message

Which of these descriptions best fits the work we’ll partner on?

Select all that apply.

What's the nature of your initiative and desired outcomes?

Hoping to get content guidance on these additional preferences.

Collaboration timeframe

Note: We work on nearly every OCTO product and manage all unauthenticated content on VA.gov, so we will need to prioritize intake requests based on overall workload and VA and OCTO priorities.

Is this work tied to a Congressional mandate, change in law or policy, or upcoming event with a specific deadline?

Where are you at in your timeline?

Tell us briefly about what you're working on now (such as initial discovery, wireframing, or usability research planning) and add any known dates for upcoming milestones or deadlines.

Enter your description here

Will you release this new product incrementally (for example, release to 25% of users to start)?

Collaboration cycle

Which phases of the collaboration cycle have you completed?

Select all that apply.

Collaboration cycle ticket

If you’re going through the collaboration cycle, provide your ticket number and link:

Supporting artifacts

Provide links to any supporting artifacts that can help us better understand your initiative and begin collaboration. Include artifacts like your product outline, user flows, mockups and prototypes, or any draft content.

Next steps

Hi @mtcA6 , update here: I sent the proposed email content for privacy review (ticket here), but we haven't yet confirmed what information we'll show in the PHI version. I think we'll want to explain what personal info we'll include above the option to choose PHI.

Something like: You can opt in to receive appointment reminders that include your personal health information, like the name of your VA facility and clinic. If you don't opt in, we won't include your personal health information in these reminders.

That's too long, but you get the idea. I'm also tracking updates needed to our VEText page to list all the types of PHI that might appear in the PHI version of text reminders.

I'm OOO next week, but can pick this up on 7/8!

mtcA6 commented 2 weeks ago

Ok, what you spelled out makes sense @laurwill, let's regroup sometime the week of 7/8 to see if there's been movement on the privacy side of things. I saw the comment on that ticket that the privacy person is also ooo this week.

My hope is, when MHV is ready to integrate w VA Profile, we'll have these details sorted out so we're already finished, or at least working, on the UX/UI to be able to support this in the VA.gov profile.

@laurwill VA Profile needs the naming convention ideally by Tomorrow 7/17/2024 so they can add the appropriate text into their tables are you able to do that?

mtcA6 commented 2 days ago

@laurwill scratch that! We don't need it as urgently as tomorrow, thought we needed it for VA Profile to move forward but it turns out this isn't blocking them. But we will need it in a few sprints so we can support the added functionality they're building.

laurwill commented 2 days ago

Hey @mtcA6 , haven't heard back from privacy yet but pinging them today. I think next few sprints should be doable.

Also wanted to connect you with @jamieramsay , who just explained to me that VEText is launching at Oracle facilities this month, but Veterans at those facilities won't be able to manage their VEText notification preferences through profile.

What does profile currently show Veterans registered at Oracle facilities on this notifications screen? Can they currently manage their preferences here, or do we direct them to an Oracle system for that?

JamieRamsay commented 2 days ago

thank you @laurwill hello @mtcA6 . So, it's a little nuanced. They will be able to manage their preferences in VA profile. However, to begin receiving text messages (if they were not previously receiving text messages through the former service Televox) they will need to also confirm with their provider that their preferred contact method in Revenue Cycle is set to text messages. This chart may help explain.

mtcA6 commented 1 day ago

The current designs can be found here and they match production.

We don't make a distinction in the copy between facilities on the UI. In our FE documentation we don't call out what filtering we're doing but not all users will see all notification groups. I'll check w/the engineering team and revert back w/details on how the page is filtering based on user's accesses/benefits.

JamieRamsay commented 1 day ago

Thank you @mtcA6 ! For our part, it does not seem like we need anything to change/update on VA Profile at this point. Veterans can still make the changes in VA Profile per their preference. They may just need to confirm settings in Rev Cycle with their provider for text message appointment reminders.

mtcA6 commented 1 day ago

@JamieRamsay how would they know to do that?

JamieRamsay commented 1 day ago

In national comms we are recommending all Veterans and Federal EHR sites "check with their provider" to confirm they are set up correctly to receive text messages. Locally, these facilities will be communicating with fliers/info as well as have processes in place for MSAs to check/confirm the RevCycle settings for preferred contact method whenever a Veteran comes in.
