  4. OMS is deploying a Privacy Act Automation (PAA) service built using a system called Disclosure.AI (DAI). DAI is a vendor managed service designed to automate the processing of Privacy Act (PA) requests for VA by analyzing request letters, retrieving requested documents, and redacting 3rd party PII present in the veterans’ records. Once the records are ready to be released, DAI makes then available for retrieval through a public facing portal that uses SSOe for authentication. The purpose of our request to utilize the VANotify service is to send emails to requesters notifying them that their records are available to be downloaded and providing instructions to access the DAI portal. ​
  5. The notification should include a link that users can use to access the DAI requester portal to retrieve their requested records. ​
  6. Decreasing processing time for PA requests and decreasing the PA request backlog for VBA. ​
  7. DAI will kick off the notification. The system is a vendor managed service that has an ATO. ​
  8. It is preferred that DAI trigger the notification when a PA request has been processed by calling the VANotify API.

  9. OMS is currently drafting the sample content that we would like to be provided. We can provide sample language later when it has been approved by OMS leadership and OGC.

  10. A PO will review and approve draft content that we will provide. Chiquita Dixson is the VBA Privacy Officer assigned to OMS. ​
  11. OMS would prefer to provide the contact information of the recipients. ​
  12. OMS plans to use the VANotify service for requesters who provide an email in their initial PA request. ​
  13. 4,000 per month. ​
  14. October 2024, or earlier.

VBA Office of Mission Support service has been created in the portal. Users have been assigned to the service. Technical POC will be receiving API key shortly.
