Drupalcon strategy (and sprint) meeting agenda

Collecting items to meet and discuss at DrupalCon for the DD&I's 2017-18 strategy. Meeting times will be posted when we're closer to the con and all of the sessions have been scheduled.

After today's conversation I think # 11 - CWG recommendation could have some interest.

Another topic: do we want to bring this work to a venue (or venues) beyond DrupalCon? Local camps, etc?

Should we move the issue queue to drupal.org so that we're in the same ecosystem as the rest of the projects and can leverage people's existing knowledge of tickets there. Is it unfair to expect that people are familiar with Github?

31 - explicit leadership roles

Question - will we take & publish minutes from this meeting? Should we do that for all of our meetings? I feel like transparency is the key to trust in our community right now.

We do take and publish notes (of varying quality) on all of our meetings. They're not full transcripts - though I suppose they could be, but I do want people to be able to speak freely - but are usually quick high-level things.

I don't think we need full transcripts - I think maybe we could organize/publicize that repo a little better (just realized it exists and is public), and have some more details. This may be where having more "positions" in the org comes, in (like a secretary) so someone is always on top of it and it's not the person running the meeting!

Yeah, details like this are not my personal strength, so figuring out someone who can take notes/do minutes would be really great.

Should we move the dd&i site to drupal (this has come up a few times)? If so can we sprint on it in Baltimore?

@sugaroverflow - I don't know. My guess is yes, though it's important to be clear that we're not a part of the DA. I just don't want to exclude people who are familiar with d.o issues but not github issues.

To make it easier can we add a quick guide to using github issues to our "welcome/getting started" thing?

Based on convo in slack on 4.18 -

• do we want to advocate for better outreach for underrepresented groups?
  • do we want to push for blind session selection?

Would be great to put things onto a calendar. Some things we can focus on in the time leading up to CFPs so that we can schedule initiatives.

Here are the notes from the strategy meeting we had in Baltimore

1. getting people into the community, letting learn to code be learn to code with Drupal

John’s company has been looking at ways to bring it to underserved communities.

• giving away spare passes for companies
• can we work with the DA to earmark money for a particular scholarship fund
• starting with Camps - easier than cons, less obligation for everyone including sponsored folks.
• how do we support people through their event experience? we can’t just drop them at the door and have them figure it out.
• sponsor them in groups.
• adults 21+ish

37. Do we need to define diversity and inclusion?

General consensus: yes

• having something to refer to would be helpful and might support a mission statement.
• would be good to have something co-oped
• would allow to have something to allow others to point to.

31. Lack of definition of leadership roles

DDI has the same problem as the community. Should we lead by example? Consensus: yes

• Roles should allow people outside to understand who to talk with.
• Be clear about roles and responsibilities.
• If you want a 501, you have to have them, although that’s not a rush.
• Helps new arrivals understand who gets listened to more than others.
• How to handle people who don’t have/need formal role, but have a strong voice?
• There appears to be a clear need for teams like the moderation team.
• there should be individuals for accountability and teams for support of those individuals.
• Use the status emojis for roles to help support roles, or put the role in name.
• Teams are Taxonomy based
• Put something into the issue queue so we can attract people who are not here.

Making DDI Sustainable

• How do we balance independence with a useful role with the DA?
• Are there orgs that can act as a fiscal agency?
• Is there actually value in having a formal relationship?
• Is there anti-value in having a formal relationship?
• Figure out what the group needs money for, before setting up to handle it.
• Lots of resistance to having a formal organization.
• needs to get more US overnight/EU day and Asia day.
• Doing meet ups, video chat, and other “face-to-face” mechanisms.
• Be prepared for lots more not-fun work next year.
• Get together are camps and conferences in a very intenital way.
• Getting folks from other non-US places gets more cultural input and improve awarness on other issues.
• Hold meetings in TZ that makes sense for other parts of the world.
• Empower people to talk to at Cons, Camps, and Meetups.
  • Make an official initaitive Proposal sessions.
• How do we localize the message to handle cultural issues?
• We are a very white group, which is something we need to be aware of and look for ways to reach out.
