Paper filing system #112

Related to https://github.com/dwyl/hq/issues/480, I need a filing system and process - I just threw out seven (7) empty envelopes while looking for a VAT document - this just won't do.

We should probably just PDF all the docs we might need to refer back to anyway, but first step is to label folders with HMRC, Banking, Insurance etc. etc. and then fill them chronologically so things can be found easily when needed.

I have all of the archive with me: 1 lever arch folder with separators is my strong recommendation (i.e. everything in one folder and one place). Should last a couple of years at least.

Agreed, we should be PDFing everything as it comes in! We should determine how often we have multi-page documents to scan in to see if we need a double-sided 'does everything' scanner or a portable scanner which quickly scans one or two pages and doesn't take up room (like this one but not this one because the reviews aren't great).

Actually the PDF app that Simon found (https://github.com/dwyl/hq/issues/480#issuecomment-400678980) is quite handy - lets you take a picture, set the margins, and then it chains multiple scans into one PDF

It's a bit fiddly but I'm getting used to it. I may even submit a request for the cost of the premium version as it sends things straight to Google Drive...

The alternative is of course to figure out if the Space4 printer can do this for us :scream:
