Committee assignments #3

Per email conversations with Bob and Meryl, at least the following committee members are needed.

I will continue to update the snail mail list and find email addresses. I've only been able to confirm about half of the email addresses so far, and will have to resort to postcards as I did in 2006-7 to find everyone.

  • Hotels and menus: finds, vets and books a meeting room and a books a block of hotel rooms in one or more hotels. The meeting room must have food and a cash bar. It would be great if a grand piano was available. If not, the musician(s) should provide a mic and speakers. Bob says that Barb Fulton may be interested in this.
  • Treasurer: makes a budget, pays pre-event fees and collects fees from attendees.
  • Secretary: keeps notes of face-to-face meetings. Imo, this web site will handle most of the details of communication between members better than the traditional secretary's role.
  • Fund Raising: provides startup-funds. Meryl has indicated she is interested in this.
  • Music: Books a group providing quiet background music (not a DJ) so that people can chat. Michael BB wants to do this gig (any time), so unless there are objections this has been handled.
  • Souvenirs: Designs and supervises production of T-shirts, knick-knacks, etc.
  • Activities coordinator: Ensures the event itself goes smoothly. Handles speakers such as John Green and Rodney Peterson.
  • Tour Director: New Trier will be willing to give a tour of the newly-renovated school on Saturday morning. This member will coordinate with New Trier and ensure attendees know of the tour.

Imo, each committee member should be fully responsible for their own tasks. That is, there should be no need to appoint formal sub-committees. As you will soon see, those who contribute to various tracker items become, in effect, an ad hoc subcommittee.

Meryl said: "It will be critical that only ONE PERSON will serve as the liaison with the hotel staff once a site has been selected." I agree, and the same principle applies to all committee members.

We have at least 9 positions, and possibly 11. It should be possible for one person to do more than one job, but we shall see...

I am going to close this issue because it doesn't seem to match what we are actually going to want to do. In other words, this level of organization doesn't seem necessary.
