Board clean-up and refactoring this ticket to be a checklist to unpack with James Steffen to determine if there is work or not for each item in the checklist and what that work looks like.
Had meeting with James on 11/11/2020. Will update this ticket with notes for documentation or to identify any next steps or actions.
Plan to review notes from the meeting with James and update this ticket by tomorrow with a current status.
Two main actions remain from the Service Management Readiness effort. Tickets will be created for each.
Confirm any default reports or stats provided by the system. Include preferred requirements by the service owner to see if default stats will work or where we may need to customize or develop a solution to meet requirements. Ticket #119
Schedule a demo meeting with the Service Manager to walk through the site and access so they can upload the test videos and confirm their administrative experience meets MVP requirements. Also demo the canvas course and student experience so we can confirm basic functionality will work. Capture any next steps or actions from that meeting that need to translate into tickets/work to meet product launch goals. For the demo we have the identified films from the Service Owner that they can use to simulate an actual use case in the system from uploading to canvas integration viewing. Ticket #120
[x] Confirm the workflows associated with transcoding (ripping file, uploading to server) are in place. NOTE: Nina Rao has done this previously. ACTION: James will discuss with her on specifics of digitization workflows and tools used for this. Avalon allows for flexibility in file types but James will work on decision around standard type (MP4). For example if/when FFmpeg or Handbrake are used. NOTE: James talked to Nina about details around how files are temporarily stored/shared until moved to Avalon. We need to have a backup of the file outside of Avalon. ACTION: James will continue to talk to Nina about this.
[x] Confirm workflows associated with content (metadata, tagging). The physical holding will be in Alma and it is possible to get the MARC data from Alma and possibly getting them into Avalon. There is no intent to have the digital format of the video publicly discoverable in Primo. There is no need for archiving the digital format of the video. MARC Metadata import is included in the Avalon Media Systems features. A person can also manually add metadata when uploading. People that do uploads and can manage associated metadata include James Steffen and Nina Rao.
[x] Content policy and copyright policy? NOTE: we wrote up a draft for library council. some language would be used in the record and might impact the workflow. James will check on status of this with Lisa M.
[x] Existing agreements with any vendor or other teams (SLA's, etc) NOTE: we are doing this because we can't get an agreement from someone (some will be limited number) where there will be an agreement - may have discussions after the system is setup (e.g. Criterion, Fox). We are not aware of any existing SLAs. There may be some licensing permissions work that James manages on their end takedown request process. (NOTE: This would most likely not be needed due to the steps a faculty member has to take to get the video available through Course Reserves (in digital format)

[x] Confirm if a communications plan is needed for announcing/launching the system. NOTE: Soft launch for Spring. Letting librarians know to reach out to James with faculty requests for videos. Hold off on wider communications that we are offering a new service to not overpromise a new service that needs to go through soft launch in the spring semester. Work with Chris P. and Lisa M. on a communications plan in the division on what we are doing.
[x] Identify and provide details of media and readiness for import and testing. 3 films have been identified that are digitized and can be used for testing “Port Triumph” 1gb, “Mickey B” 2.65gb, "Latah a culture-specific elaboration of the startle reflex" NOTE: utilize these in our testing with the workflow and how the interface works so James and/or Nina can walk through this process.
[x] Acceptance testing plan or alternative for product review and testing. NOTE: walk through first to confirm what it is supposed to do. Info in the readme file or previous knowledge what the expected behavior of the system. Start with what James knows and expectations of the system. Use existing documentation and intended use. Conduct as a demo of the product to review. Zoom meeting where James is hosting and share screen. Video ready to upload and James does the steps and do a talk through and identify any unexpected items. Need to demo the student canvas experience as well.
[x] Metrics, stats or analytics. Counter stats (number of plays on a video) broken out by day - tracking traffic over time. Total minutes played (can tell if people watch the whole video all the way through or just parts). What are the default stats/reports that are in the system?
