Final venue selection #45

Closed nikosd closed 11 years ago

nikosd commented 12 years ago

Hello gents,

as you already know, after selecting the shortlist we went to see the last place (and actually the top voted one): Badminton.

Having concluded our research, and having all the numbers we shall now decide which venue will actually host Euruko 2013 :fireworks:

Final candidates

  1. Badminton (more photos will be uploaded soon)
  2. Στέγη Γραμμάτων και Τεχνών
  3. Palace

    Venue selection and date availabilities

As it has turned out, venue selection will affect (and be affected from) the available dates. To be more precise: Badminton is only available on 28-29/6, Palace is only available on 24-25/5 and ΣΓΤ is available on 24-25/5 and 28-29/6. This means that if we select Badminton or Palace then we have also selected the date. See also the calendar to get the wider perspective.

Voting procedure

Based on the fact the we probably have all the required data to make a decision, we have decided (those who were at Badminton today) to start the voting procedure online, similarly to the shortlist. So, everyone can cast his vote on his preferred venue until Sunday 25/11 23:59 (GMT+2). If someone believes that we are still missing data, please raise the issue ASAP. The voting can finish earlier if all of us have voted before the deadline.

Each one of us can cast one and only one vote with his preferred venue.

After the end of the voting we will notify Marian and Sissy to start the arrangements with the accepted venue.

Last minute information / recap

(cleaned up some comments which were due to error regarding the dates - @nikosd)

Anyway, I'm for Badminton (what can I say, the place is impressive).

I vote for Badminton Theatre

My Reasoning goes like this:

  1. They are flexible in both setting up IT networks, catering and sponsor stands. Exactly what we wanted!
  2. The price is the best we've got so far (cheapest euro/seat)
  3. We can sell more tickets or hand out even more to students etc for the same price. This can be the biggest EuRuKo ever. the sky is the limit in terms of delegates we can host (max 2500)
  4. The networking space is fine (although massive).
  5. It is far enough from the centre, though access my metro and buses is fine.
  6. It is managed by a private company that seems to give a hoot and which is profitable from what I hear.
  7. Sissy and Marian will have run 4 gigs there by the time we run ours (I believe). This means they'll know everyone and everything, which makes the running less error prone.
  8. We can make a good profit at Badminton or at least minimise they risk of going out of pocket. In the case we do make a good profit, we can pump money back to the community and make a second order difference :-).
  9. It is an impressive venue with excellent audio/visual equipment.
  10. The end of June is a top date in my opinion, which should give us a breather and make it cheaper and/or easier for delegates to have holidays in and around Athens.
  11. The fiber optics link to HOL can give us massive capacity for the duration of the event for both livestreaming and general IP networking.

If anything the Badminton dates make it harder for some of us (@vvatikiotis, @damphyr, @amiridis, @pagojo) on the 'OTB conference' committee to run that gig as well, but still I can't say no to what it is on offer here :-)

Update issue description with availability of ΣΓΤ (slot 1 and slot 3) - this means that the second slot has no candidate venues.

Hello there lads,

this voting is more or less finalized but here are my thoughts anyway:

Badminton

:+1: Spaces for networking outside the main hall :+1: Good overall feeling inside the main hall :+1: Pricing :+1: Sissy and Marian previous experience with the venue :100: Catering pricing and flexibility :100: The most friendly and flexible human approach by far

:-1: Too big :-1: Outside Athens :-1: Don't like the late June dates because Universities will have exams, traveling and accommodation costs will probably be higher and it will probably be way more hot than in May

Palace

:+1: Downtown :+1: Seats and stage. It's our most classy option and it has the warmer feeling among the final candidates (personal opinion) :+1: Pricing :+1: Size: not too big, not to small

:-1: Some of us didn't like it at all. Even though I can't understand why ( ) it's not good to have arguments and bad feelings

ΣΓΤ

:+1: Has no big disadvantage :+1: More than one available dates :+1: Possibly almost ready wifi setup

:-1: Has no big advantage :-1: Way more expensive :-1: Charging us for bringing our own catering :-1: Back seats on the 1st and 2nd floor more or less suck :-1: Split in three floors - this is not a good thing for networking

Maybe I'm missing some things but in any case, all things considered and with consensus in mind my vote also goes to --> Badminton
