Light Lunch #48

In skroutz we have a catering company LaCigale which charges 6€ for each meal. Assuming that an individual meal is far more expense than a mass catering for 600 people I as curious of what will be the price for our event.

Should we check this solution?

  1. Even though I dont have data, I believe that full meal will be cheaper in terms of cost / value than finger food (sandwiches etc)
  2. We can have greek food
  3. Food quality is in general better than cold, pre cooked solutions
  4. Badminton is great and it will be even greater (social networking etc etc) if none will have to leave for food

So, what do you think? Shall we ask for a price (of course The Girls will know about it)

@pagojo I know that this is not a priority right now. I made a milestone for release first batch. This should be our priority and everybody know it.

Quick Update for light lunch.

The light lunch is going to a) be paid by the delegates b) ordered by the delegates using EV (N21 and EV are handling this. They report to me) c) the number of available light lunches is determined by our projections based on the questionnaire we sent to the delegates

You renamed the task (good). Light lunch is provided by others. Let them handle it. We will help with communicating to the delegates when time comes. Leave as it is. Changing to @vvatikiotis since we assigned it to him due to eventora/n21 dealing competency :)

I can't believe I just did that. If it was one of you guys who wrote this, it is understandable. If it was a pro (e.g. the catering) then I'm in the wrong business!

Please ignore me if you are offended Guys I don't wan't to be a troll, but I still suggest we look into the idea of actually having a small buffet for all the delegates provided by us. The cost would be around 3K (judging by the FOSSCOMM prices). This would solve the food issue since everyone will have a (small but) descent meal. This proposal is due to 3 reasons

  1. The prices are relatively expensive (even for average greek prices) and for unknown food quality (we haven't tried anything from them yet). As a comparison, the meals for the 2 days cost almost half of the the ticket price
  2. The majority of the people will not have lunch there and if they get tempted to eat, they will not be able to do last minute orders
  3. The Badminton foyer is not appropriate for lunch. This of course is not a great deal but when you pay a fair amount for lunch you do not expect to eat it at a foyer stand (if you find one free)

We need the fat in our budget. OTOH if we can find a sponsor, we can consider it. We've got to be quick about it though.

I agree with you on the "fat" point. Note that there is already a sponsor from whom we are waiting a final answer at the moment (Vodafone). In any case, should I go ahead and ask N21 for prices?

They might be overwhelmed.... I say lets wait a bit on that, Let N21 work for the sponsor and the goodies bag and things that need to be OK'ed cause of production times. If Vodafone comes through then we can ask. It's simple for them but I'd feel better if we let them push with things that need to be finalised now.

I agree with waiting but the issue is that this decision on wether we are going to have free light lunch for all or not kind of blocks the announcement of paid light lunch (or not :confused:).

Please keep in mind the accounting issue that we may have if we serve food. Remember the weird law about tickets/receipts/invoices and "entertainment"? If not call me to explain (in greek) as ask the accountant :)

  1. There is an accounting issue. The catering company will not bring its own register machine. Even if it does and we want to cover everyone we go to the scenario with the minimum orders threshold (guaranteed by us) which we rejected.
  2. We were told that light snacks (sandwiches etc) will be available at the bar so nobody gets really hungry.
  3. If we serve food (paid by us) there are legal implications about who is responsible if anything bad happens.
  4. I think it cancels the "scientific" character of the event and we fall back to entertainment, so I think we even have to think about returning VAT from tickets to the state.
  5. The catering prices are usually high due to the fact that they serve food at a place that wasn't meant for this i.e. the customer pays for the setup as well.
  6. Why do we always revise? This was decided and closed many moons ago. (I am using a very calm voice in my head when I write this, so don't get alarmed :))

Quick answers:

  1. no clue about it :smile:
  2. Indeed. Also coffees and water will be available at the bar yet we are trying to offer the best we can
  3. What? If this stands as a case, then it is the same as with the coffees. Should we consider having an insurance for this? (Though I believe the supplying company would be liable for any issues)
  4. I don't think the scientific character could be judged by wether we server a simple sandwich or not. Besides the fact that we will be serving food (not paid by us) could raise the same issues. The problem is that if this law is so subjective we are screwed any way
  5. I understand this, but I don't like it :)
  6. I am only suggesting something, if you are against I'll drop it. I was still suggesting this moons ago but was discarded since N21 told us the cost would be 8K and never got prices on this (don't get me started :smile:)

  1. Maybe Im on clear with the context you (@apantsiop) in. But the fact is that there is a minimum orders clause, in which below a certain number of order the catering service cannot go ahead. Right now is 50 dishes (for the pay-for-your-lunch-meal).

  3. The catering company and the bar are liable. We are just using their services.

  6. both true. Yet the fact remains that we are a month away from the event's date.

I am not for or against any of the two ways of doing this. I don't know the logistics of @nolamesa proposal. Buffett means that everyone will eat, plates and cutlery for 500 ppl, which involves setting up the foyers for it. Where as with the current approach only 100ppl max will be eating, in which case is much easier.

TBH I think our current approach is more than ok. Having said that, if it was March and I wasn't overworked I could very well consider the buffett alternative.

As far as I am concerned I would strongly suggest to try to provide a minimum service to everyone (fruits is the least we can do and sandwiches the max). The fact that there aren't many places around to have a lunch worries me a lot. I will not push on this, let's move on as we decided. Couple quick notes to keep in mind:

My proposal does not require any logistics from our side. The whole setup will be arranged by the catering company (in both scenarios) and in this situation since we are talking about small sandwiches all that is required is some napkins.

Regarding the preordering solution, we should make clear what the minimum 50 orders means. Is it 50 orders for each day or the sum for the two days? In the latter scenario there is an increased possibility that we will not get the people needed.

Guys from what I understand you don't really support my idea about providing some free light lunch option. Let's not stall things any longer. What is the status on the Eventora-Catering solution? Is it ready to be announced? If so @nikosd please include it in the list of the announcements in the imminent email to the ticket holders.

Note: in case we haven't done so please clarify with N21 what 50 orders means (see my comment above)

Have think about offerring our 14 speakers free lunch? The upper value for 14 ppl times 2 days, with our most expensive menu is €476. If we go with this it has to be communicated with the speakers before the announcement of light lunch.

Adding it here for the record: the accountant noted that we can offer fruits for free (as we do for coffee) without having any taxation imposed on us. The tax law applied in our conference changes if we offer food (from an educational event to an entertainment one) and would burden us with more taxes. But in the case of coffee and fruits this doesn't apply so we can offer these for free (paid by us).

Light lunch update: Page is ready. There's an EV issue though, delegates have to order for 2 days, if they want. EV - N21 are dealing with it.
