I suggest we should better be safe and follow the same procedure as with everyone else. We should sign a contract and after that we can announce them as our sponsors.
OK I could modify a contract and send it to them. But the contract signing might take some time and since two of their employees are our keynote speakers so I think it is safe to announce them ASAP to get some traction.
They responded. They sent the details. I will send it to them tomorrow. And then announce them.
I have updated the description and added a section about the Poster, along with a checklist.
Here is an email draft:
Hi,
we decided to circulate a small poster for EuRuKo 2013 within the Greek academic departments and faculties, along with other relevant tech places as well. We thought that it would be a good idea to promote Ruby and its community to our younglings! :-)
Of course, there is a sponsor section commemorating all of our lovely sponsors (YOU!) that make this conference possible.
We will also give you 2 printed A2 posters as memorabilia when we see you in Athens!

Why are you giving them access to the logos of other sponsors? Just send a link to the pdf or whatever.

These are low quality rastered png images, not vector graphics. Even the AI includes the rastered images and not vector type logos. It's OK to share those, no harm done. I want them to see how open / accessible the conference is, to the point of intriguing. :wink:

We need to have the Party contract ready in the next 1-2 days. What are we providing to Github for 3000 EUR?
Let me lay down a draft to start with. I propose:
1) Stand alone Banner at the party venue 2) Logo on drink coupon 3) Logo on site 4) Tweet(s) and blog entry 5) Logo on TV * 6) 3 tickets
(not alone, not among Selene or other sponsors, maybe if we do it interactive as we said we can squeeze it somewhere in there)

We were thinking (@chief and I) wether we should sign a contract with Heroku or keep it informal since they are such great folks. Apart from that (i.e. even if we do sign), should we announce them tomorrow and sign later? So my questions:

Poster
We should send an email to all sponsors that we have created a Poster which will be posted on all Greek universities (especially the Departments of Informatics / Telecommunications / Electrical Engineers / etc). I will write a draft of the email in a comment below.
The email should be send under the same thread that is for the sponsorship to keep everything tidy and under context. Please check the checkbox if you send any.
