DECISION(S):
There should NEVER be duplicate files, attach the single record to multiple catalogue records. see Topic 9.
Auto-generate a list of catalogue numbers in the multimedia record from the attached catalogue records. See Number field on NEW Audubon Core tab
Predevelopment workflow:
For ALL Departments add the catalogue numbers to the “Other Numbers field” with Source = “FMNH Catalogue Number”.
If there are more catalogue numbers than available rows in the table add multiple catalogue numbers in a single cell as a pipe-delimited list.
Post development:
Catalogue numbers and exhibitions Inventory numbers will automatically display in their own field in a table on the Audubon Core tab.
Recommendation: Shortcuts in the multimedia module will be switched on by default for all users and display all mandatory fields as well as the new field as described in 2a)
DATA CHANGES: Data Changes Doc Pre new development: Post-development:
Implemented in live

DISCUSSION POINTS: It is often the case that a single multimedia asset includes or is related for one reason or another to multiple catalogue records, this situation has been handled in multiple ways. An image has been replicated into one or more separate records (see Topic 9) Catalogue numbers are typed into the title and/or description fields Catalogue numbers are put into the Other Numbers field with different “Sources” (See Source lookup list cleanup) Catalogue numbers are baked into the filename. The Audubon Core tab has occurrenceIds mapped and the reverse attachment AllObjTab already shows the catalogue records attachments, can/should these help automatically grab/display catalogue numbers to save re-typing them?
