Overview

We need to create instructions for how a pm can do a drive audit

Step One: Open the Google drive migration repo

Step Two: Find the issue for your project in the repo, open the Drive audit file found under Resources/Instructions

Step Three: Open your project’s old Google Drive

Step Four: Open your project’s new Google Drive, ensure that both new and old drives have the same architecture i.e. same folders and sub-folders

Step Five

Start your audit, pick a folder from your old Google Drive, start with the first file, find who owns the file.

Step Six Move to your project’s audit file, make a copy of the sheet “person template” in your project’s audit file. Right click over the sheet’s name, choose to rename the sheet, copy and paste the file owner's name.

Step Seven Complete the sheet’s information, paste the owners name in row 1 column b of your audit file, add their email address in row 2 column b, complet rows 4 and 5.

*If you can’t find their email address, right click, choose “Block”. And then it's going to load and then I'm just going to copy their email from here and say cancel.” You can also try to get their emails off the team roster.

Step Eight Add the link to the file folder. You're going to have them move the files/items wholesale. So you don't need to identify every file that that person has in a given folder, you only need to identify which folders they have stuff in.

Step Nine Duplicate the sheet, and repeat steps seven and eight.

So you get the idea. So you then go, you do all these, and then you go into these folders. But Drew, we already know we have a folder for him. So now we just go back to Drew in the spreadsheet, we copy this URL, and boom, now we've done with his file.

Once you're finished, then we’ll help you compile it all into a list of folders, unique folder names. And then you go and check and see if all those folder names exist at the new destination before we invite the people to come. We do a little file moving party and everybody gets their file moved in just a couple of minutes. Instead of sending them these big long drawn out instructions and then they open each file and don’t put it in the right place. It's better just to literally guide them to drag files across.
