Email questions to send to Flor and Emily

Last year the opportunities were hard to understand for the volunteers. Our offering included 3 different positions while the rest of the internships were just one position. Would it be possible to have two different listings for each of the positions? Hack for LA Project Manager Hack for LA Software Engineer

Under compensation we noticed you used the term voluntary. Because Code for America (our fiscal sponsor is a non profit) the students can earn community service hours. Can we have the words "Community Service" where it currently says voluntary?

We noticed that there is a question in the Brentwood School 2022 Summer Internship Application (Current Student) from

The internship will be time-consuming. Please describe what other major time commitments you foresee having this coming summer, including extracurricular activities and sports, summer school, family trips, etc., and discuss how you will find time to be a successful, dedicated intern. Will you be sharing their answer with us? We did find that one of the interns last year, really did not have enough attention and availability to devote to the internship, and consequently he learned less and had less interactions with Mentors because he was unavailable when they were.

Thank you for your response to our question about Emails we have a followup question Q: We had quite a hard time getting the students to respond to emails. The main reason seemed to be lack of attention paid to their email accounts. We ended up texting them, but it was not as convenient. Is there something we can do to improve this beyond providing a calendar of expected communication dates?

A: The expectation is that students check their BWS email on a daily basis. We will be sure to emphasize the importance of responding to Internship Sponsors in a timely manner. Should you have any trouble getting in touch with specific students, please don’t hesitate to reach out to us.

Interview Times As a general note, open interview time frames are set to take place during Brentwood Upper School contact time, activities period, late start, or after school.
Can you tell us what time the contact time, activities period and late start is? Or are these times specific to each student.

These times are shared among all students, making it easy to schedule meetings during their free time. Below are the times for each of these periods.

Contact Time:

Mondays 12:10 p.m. - 1:35 p.m.

Wednesdays 11:55 a.m. - 1:25 p.m.

Thursdays 1:20 p.m. - 1:40 p.m.

Late Start:

Wednesdays 8:00 a.m. - 9:20 a.m.

Activities:

Thursdays 9:05 a.m. - 9:35 a.m.

Acceptance In the Timeline slide, there is no mention of when interns need to accept internships offered. And on the Sponsor Information slide, it says:

The Alumni Engagement Office aims to post and confirm all internship placements by April 18.

Does this mean Brentwood will let Sponsors know by April 18th which interns will be joining us?

To clarify, we seek to hear back from Sponsors by April 18 for internship placement and we hope to have student acceptances by Friday, April 29. Internal communication to students will include the April 29 deadline to confirm their participation in an internship.

Dropping out of the Internship once accepted What is Brentwood's expectation for notification both between the intern and the Sponsor and between the Sponsor and Brentwood?

We fully expect students and alumni to communicate with Sponsors AND the Alumni Engagement Office of their decision to either withdraw or “drop out” of an internship. While we highly discourage dropping out of an internship once accepted, we understand students have a variety of reasons for not attending or completing their internship - to this end, the best we can attempt is clear communication and full transparency throughout the entire process. (This question certainly brings forth more questions for us about improving our waivers and potentially crafting a contract for next year... thanks again for your inquiry.)

Removal If we have to remove an intern, what is the reporting process?

At the moment, we do not have a formal reporting process for removing a student from an internship. The Alumni Engagement Office is always open for a direct conversation with Sponsors but we fully expect sponsors to address any misconduct at work in accordance with individual company policies. That is all part of the learning experience for our students and alumni.

As we continue to build on this program, our goal is for students to take these opportunities with the utmost sense of responsibility. Additionally, we look forward to having a formal orientation for all accepted students and alumni that includes career advice so incidents like these are few and far between.

In person vs Virtual on Zoom Last year, the internship was completely virtual. This year, we might do a single in person event in addition to the virtual meetings, dependent on Covid restrictions. Does Brentwood have any guidance for making sure that everyone who attends is fully vaccinated and boosted?

As Emily mentioned, all current Brentwood students must provide proof of full vaccination, which now includes the booster. Since we do not monitor the vaccination status of alumni, please be sure to communicate your company policy with all interns directly. Any protocol they may need to follow per your company is at their discretion.

Ask me Anything Perspective Intern Information Session Date and Time? Last year, we held an AMA to answer all the general questions. We would want to do that again, before interviewing them. Looking at the schedule you have provided, we are thinking that sometime between February 4th and February 20th would be ideal in order to give them time to decide if they want to apply. Do you have a suggestion of when would be best (date and time)?

In person? This is the event we would prefer to hold in person if covid allows. Could Brentwood provide the space for this? If not, we can hold it someplace else (if in person). Emily will be sure to update you once we know more about what may be possible for such an event on campus. Thank you so much for offering this, our students would absolutely love this opportunity!

Non urgent Reach out to company that did the paid internship last year in software development from brentwood #84 and ask them if they are going to do it again this year, and let them know that we have a recommendation from our internship cohort of 2021 who was a stand out developer.
