We have data for most of the native plants supplied to us. This information is part of our domain model. How does this work?
We receive grants for projects.
For some projects we are supplied with native plants.
For others we are given money and purchase the plants ourselves.
When provided with plants, we sometimes receive a list in advance.
When we buy plants ourselves we place an order.
When provided with plants we take stock of what has been received.
Our current way of storing information is in a folder on my desktop. This includes PDFs, Excel and LibreOffice files and scans of written information. For example:

Several species, each with a description (e.g. Banksia littoralis), quantity, unit price, amount per species.
This typically happens with Habitat Links. There's variation that could be captured with a "compare batches" service. Return a list each of missing stock and extra stock.
