Photos/Survey123 Issue - GFL #332

Gannett Fleming (GFL) emailed me saying that they are missing photos for 27 of their 50 synced/unsubmitted BMP inspections. Two examples are SWMFAC No 020066 and 020880. There are no photos in either the feature service view or the master AGOL feature service for these. One, 020066 should of at least had a ponding photo because they rated it a "5". The feature service view shows that both had edit mode turned off. @talllguy Any idea how these could have gotten sent through with no attachments at all? I am suspecting a Survey123 issue but still seems odd that the related records weren't created and the photos just dropped. Waiting to hear back from them about the version of Survey123 they have installed.

Get the version of Survey123 and the device type used and report back here.

From GFL -

It looks like we are using Version 3.3.64 currently. However, I did update the app on May 2nd, after all of these inspections were performed so I guess these inspections would have been under the previous version. We are using an iPad Mini 4.

Thanks. It's hard to debug that now that they've upgraded. Could they test out making some edits with photos? Do they have the photos still?

I'll reach out. I don't think they will have the photos anymore but can possibly retrieve them from the survey123 database on the iPad.

They are on form version 3.2.3, could that have something to do with it? For 020066, I opened the inspection record in the GFL BMP Inspection form. The ponding rating looks like this - image

There is no subject or comment showing when these two items would typically carry over. Edit mode was not on when I opened the inspection. Unclear how the inspection was sent with no attachments at all, even for required fields.

Update from GFL this afternoon -

We have performed 22 inspections since the last sync. I just synced I got an error the first time but I think I did something else wrong because I tried again a second time and it worked. The 27 BMPs that were missing photo folders are still not there when I download the preliminary pictures. All 22 of the new inspections have folders with their inspection pictures.

Also, it may not be a version issue because they had another 23 in there with no issues, then it looks like the 27 came in completely void of photos and associated records.

Elliott Plack (resident Survey123 guru) and I looked into these missing photos but came up empty-handed. Can you try the workflow below to access the backend Survey123 database on your iPad and see if the photos from the inspections are present? If they are there, you can retrieve them and recreate the inspections using the BMP Inspection CSV and those photos. It will likely be easier to redo the inspections using the CSV than trying to update and resubmit the existing ones through Survey123. Once you resubmit and sync, use the NPDES FDM to delete the ones without photos. Unfortunately, if they are not present in the database, you will need to send someone back out to recollect the photos and reenter the inspections using the CSV file.

Guide to recover backend data from Survey123 –

• Connect iPad and load iTunes • You should see this icon somewhere on one of the menu bars at the top of the window. It will open up a device window. • Look for Sharing (I think) or Applications on the left-hand side • Click “Survey123,” and you should see a file folder called that says “files,” “database,” or “ArcGIS.” • Export that to your machine.
• There should be a “ My Survey Attachments” folder in there that will contain every picture attached to a survey you have sent. • Try and locate the missing photo by Date and Time (I know it's not that helpful) • Once you have the photo, open Survey123 on your laptop and sign in using your SHA account. • Go into the KCI_2 Inspection and open the inbox • Hit refresh to download all of the surveys • Locate the two with the photo issue and open • Use the file folder option to attach the missing photo to the overall photo record • Submit the updated survey • Rerun the “Sync BMP Inspections” process in the NPDES FDM • Check for photo errors
