New Firm Set Up for HHD #451

Open KCI-Ablowers opened 4 years ago

KCI-Ablowers commented 4 years ago

Background

HHD (Kiona and her team) will be performing triennial BMP inspections moving forward. Training will likely be mid-September 2020.

Setup

Notes

A couple notes for discussion:

  1. I would recommend rec/posting everything up to Default (not just from QC versions but also including HHD's editing versions where there may be new inventory that they'll need in the field). Then, we should remove any versions that are no longer needed (QC versions, Field versions) to reset the versioning structure to base and coordinate with the DBAs (Mark Mercer) to run an SDE compress. After that we can run a source to field refresh and recreate the versions for QC and Field. This will provide a clean slate and is what we've done after every major collection season.
  2. Do we need any other versions aside from the HHD versions (KCI, MES, etc.)?
talllguy commented 4 years ago

Mark Mercer is out of office through September 9th, 2020. His backup, Margaret "Peggy" Wardrip MWardrip.consultant@mdot.maryland.gov should be able to help. We need to reach out to her ASAP.

@KCI-Ablowers let's find the latest checklist issues where new firms were spun up and use that as a template for the new HHD version.

I pulled the template above from the WTB issue #445

OK. I thought there might be a couple more steps. It looks like you're ahead of the curve.

Regarding the Tracker, we'll want to do the steps in #432

johnshiu commented 4 years ago

I have completed the source to field refresh, so the field inventory should be up-to-date. I've also created the HHD_1 version along with the FDM login for HHD_1. In addition, I have created 5 other placeholder HHD_X versions (up to HHD_6) in case they want to add more groups in the future. Those HHD_2 - HHD_6 do not yet have FDM logins, however. Please let me know if you would like to utilize them.

The SDE compress did not happen this weekend as the source to field took me longer than expected. However, I will talk to Mark/Peggy to get that run sometime. It's not essential to operations, and when it gets run it will be transparent to HHD.

I think for now we can utilize the one version until we get more information from Kiona. I will move forward with my items above when possible. I should be able to get the group, map, and survey123 form out without much issue. @talllguy when do you think the inventory service can be online?

Updated the first comment. It appears we won't need individual inventory feature services so we should move forward with using the public layers for this effort. @johnshiu not sure how much this will affect the FDM set up since WTB was already set up this way.

I've added the other HHD users to the FDM, all the way to HHD_6. Please note that the password pattern has changed to HHD1teamPW123, HHD2teamPW123, ... HHD6teamPW123 for consistency.

@talllguy I am going to run the idea of setting up a web app for the tracker and access features (if need be) tomorrow during our field training. I will update here if she is okay with going that route and we can discuss configuration.

talllguy commented 4 years ago

Would that be instead of doing them in the field app?

KCI-Ablowers commented 4 years ago

After the first two field trainings it seemed like most people would be using personal devices or the "HHD" iPads which appeared to have data plans.

I'm thinking we could set it up similar to the inlet cleaning effort where you built an offline and online map. The online would include all features while the offline would just include what can go offline. We can set up an edit app using the online map for editing the access and tracker in the office.

I am not sure about the other group members yet but given the ~30 people that were out in the field for training, I see these groups being quite small. I emailed Brent about it but have not heard back yet, so I'll update this comment when I get some confirmation from him or Kiona.

Email sent to Kiona on 10/15/20 -

Kiona,

I completed the set up of all HHD, PRD, and PSD groups and associated items on ArcGIS Online. All items – BMP inspection forms, services, maps, and apps are in place and ready to use. The only thing that remains item wise is creating and applying the thumbnails to match the existing ones. The following table contains the field team lead, their associated group name, and a hyperlink to the group -

All of the team leads have been given the role of "Group Manager" and can add/remove members as needed. As Elliott has mentioned before, this role will help keep your field teams flexible and able to access items (mainly edit maps and inspection forms) across groups. The team members should be added at some point before inspections begin. A few things to note:

  1. Craig Lowery appeared twice in the BMP Inspection Crews excel file when I originally copied the table into GitHub for tracking. I noticed today when I rechecked your sheet that his second assignment had been removed. We can drop the PSD_7 group and database versions (field and QC), then shift the assigned lead/group manager if need be.
  2. Bryan Murphy currently has two ArcGIS Online for Maryland user accounts - bryan.murphy and Bryan.Murphy2. Both are in the HHD_1 group, so I did the same for PSD_7 and the QA/QC group (detailed below).
  3. HHD_1 currently has all of the members assigned from the field/office training we have done so far. Once the QA/QC training is complete, the members no longer part of that group should be removed.

For QA/QC, I created a group called "MDOT SHA NPDES BMP Inspection QA/QC" (https://maryland.maps.arcgis.com/home/group.html?id=146226bbc6e14060ae4bf01cc3a62361). All of the QA/QC leads indicated in the inspection crews excel file are members with the group manager role. The group contains all of the HHD, PSD, and PRD inspection forms and feature services. Instead of adding QA/QC leads to every group and cluttering up their ArcGIS Online and Collector, they will have access to all inspections in Survey123. There is also a SWMFAC Inspection Tracker edit map and app in this group. I will cover both of these items in greater detail during the QA/QC training on the 27th, or we can discuss it before then. I will also have additional information related to the Field Data Manager closer to the QA/QC Training.

Please let us know if you have any questions or concerns.

Thank you, Andrew
