This is to record the different steps we are taking to administrate the Malakula sound files, names, reference data etc. The following first posts refer to Aviva's e-mail of 15th of June 2016. My comments are in italics.

Some issues with regard to FILE NAMES: In "to transcribe - marked up all 215," we have files labeled "Aulua_LamapLamap" and "Aulua_LamapLamap2." Lamap is a dialect of Port Sandwich (Aulua is a different language). The original file names for these (now in "to be cleaned up" ... "done") are

I imagine the names of these -- as they made it into "to transcribe - marked up all 215" -- have to be changed. Could I ask you to do that?

_Yes. I changed "Aulua_LamaLampa" / "wl_160078_PortSandwich_01_Lamap_selected to "Oce_Van_Mal_East_Sth_PortSandwich_LamapLamap_Dl. And: Aulua_LamapLamap2 / wl_160080_PortSandwich_03_Lamap2_selected to Oce_Van_Mal_East_Sth_PortSandwich_LamapLamap2Dl. (Note: in the reference sheet, there was an under score character missing for this file name. I added it.)

I need to wait until tomorrow when the power is on again in Jena in order to check this directly on the server.

Other naming issues (names of files that probably should be changed on own cloud and checked to see if they are properly named on the site, I imagine):

MISSING (?) files:

This file must have made it accidently to the "done" folder. I am sure I have not worked on it yet. I moved it back to "to clean up". Thanks.

This file was done on 2nd of June. I am uploading it to C:\Users\Fritsidhuslandiana\ownCloud\SndComp\Malakula\3b - GA - To Transcribe - Marked Up All 215

Completely DISAPPEARED (?) files:

There are three "selected" files that were uploaded, but I can't find them on oc:

This is a file that was cleaned up and tagged by me on March 23rd. You find it it in "3b - GA - To Transcribe - Marked Up All 215" now.

_This file can be found under the name "Oce_Van_Mal_Nth_ESth_UWRA_AtchinSmallIslandDl" on "3b - GA - To Transcribe - Marked Up All 215". Please confirm @AvivaShimelman.

@AvivaShimelman When you say they were "uploaded", do you mean that they have been uploaded to the website? In this case, I cannot confirm that because I cannot see it working on the website. We can leave this until tomorrow when the electricity in Jena works again so I can check on the server. Or do you mean something else?

I've re-uploaded them into "don't worry about," but if they can't be found on oc, we may have to worry about them sooner rather than later.

DOUBLES (?) (i.e. files to go in "Spare")

Currently in "Don't worry about" are three files that I think have already been cleaned up and marked up:

I think this one has not been done yet.

This one neither. I had moved them falsely to the "done" folder. They are now in "to clean up again".

Could you double-check this and move these files into "Spare" if indeed they have already been marked up? I would feel bad if you wound up working on these a second time by mistake. It also looks like

has been marked up but the sound file hasn't been moved out of "to be cleaned up." Yes. That one I did yesterday. I have moved it now.

I have uploaded a file named Oce_Van_Mal_Nth_Nth_Alavas_AlavasWowo_Dl and its textgrid to 3b - GA - To Transcribe - Marked Up All 215. Its original name is Wowo02, Avlavas (1). Is this the correct file for "Oce_Van_Mal_Nth_Nth_Alavas_AlavasWowo_Dl"? (I am asking because on the Reference sheet it says wl_160058_Alavas_01_Wowo_03.) @AvivaShimelman

The top eight (agreed-to "priority") files Aviva will be marking up (listed above) The five files currently waiting in "to be cleaned up" (external ("first level") files only for now) Nasarian_Wileven Neverver_Mindu Unua_Noferai Pangkumu_Datisman Vao_Beteehul

(I'm assuming Nitita: Khatbol is in that folder by mistake, as you put in a recent progress report that it had been cleaned up)

(The 13 currently pre-edited and waiting in "don't worry about for now" can be taken on at a less phrenetic pace after Russell leaves.

btw, the first priorities when you do get to these are: Venen Taute: Hamax Aulua: Lorxse-Lanfitfit).

The 7 that will necessarily remain for the moment in purgatory (52) are (in order of likely promotion): Pangkumu: Ndarmif Unua: Mbatumbo Tesmbol: Melaklak Letemboi (1 - probably Aingelamolesa) Avava: Khatbol Ninde: Opmobamba Nahavaq: Caroline Bay

The following three could potentially escape in this round, in that we do have files from these languages already pre-edited (and in one case marked up) and transcribed but which I never catalogued because I didn't think I'd get them done. That said, they won't spoil and can certainly wait for the next round of cataloguing in the fall:

Nombotkote: Melkin Neve'ei: Nefe'ei Nombotkote: Melkin

New files also in this category are Atchin: Lilrang

That's it, I think for now. Time-wise, that cashes out to: 20-22 hours of on-task time (i.e., continuous work time) for Aviva over 3 days 22-24 hours of on-task time (i.e., continuous work time) for Laura (not including file-finding time) over four days (HEADS UP! That cashes out to an average of 6 hours a day! We both have to get on it.)

Alavas: Wowo (Alavas_AlavasWowo) is indeed wl_160058_Alavas_01_Wowo_03. Go with the numbers. The file I uploaded is "wl_160058_Alavas_01_Wowo_selected". The speaker is an elderly woman. The right file is appearing on the site. wl_160062_Wowo_02 is a different file. It is Lesmarlas, which is also playing as it should on the site.

Renamed files

@PaulHeggarty I have uploaded the extracted files of this languages to the server. They do not appear on the website, however. I have checked the full index number of both files and also checked the spelling and everything seems ok. Is it possible that there is a bug in the database?

No bug in the database. You have made an error in renaming these files.
First, why on earth _Lamap_Dl1 but _Lamap2_Dl? Second, where did these names come from? Names are NOT to be just invented off the top of anyone's head. They are the output from my database. Why did you not check the current language reference file where the correct names are given as: Oce_Van_Mal_East_Sth_PortSandwich_Lamap_Dl Oce_Van_Mal_East_Sth_PortSandwich_Merivar_Dl

There is another file in the OwnCloud folder called: 2016 06 16 (3) CURRENT Malakula Languages Reference Sheet What is this? (3)?

Hi, sorry, the mistake was only in what I wrote here, not in the actually file naming. The names come from this sheet: 2016 06 16 (3) CURRENT Malakula Languages Reference Sheet. I take the names from 2016 06 16 CURRENT Malakula Languages Reference Sheet. Problem resolved. Thanks.

Please look at the two reference sheet files on OwnCloud and check they are consistent, and delete the excess one, or rename it to make it clear which is the one to use. The version without (3) is the one I exported, so its what corresponds to the database. I need to know if anything has been updated since, which I need to paste back into my database.

@AvivaShimelman My dearest Aviva! When time and internet connection allows, is there any chance to upload an unzipped version of wl_160009_Tirax_03_Bethel_selected.wav and wl_160007_Tirax_02_Botmelesnial_selected.wav on our Folder 1- To Clean Up on Owncloud? Big hugs from hot Jena.

Novol: Dixon Reef: only 52 words are working on website. Checked on Reference Sheet: the sound file that corresponds to this language is wl_0014_Novol_04_DixonReef. I could not find any pre-edited version on ownCloud\SndComp\Malakula\1 - LW MV - To Clean Up\Original Files - Now Done.

It looks we have no preselected versions of those files: wl_0014_Novol_04_DixonReef (Novol: Dixon Reef) wl_0039_Avava_03_Khatbol (Avava: Kahtbol) wl_0010_Avava_02_Tisvel (Avava: Tisvel) wl_0047_Nombotkote_04_Melkin (Nombotkote: Melkin). I will add those files to the big list in #350.

There are indeed 10 languages, I believe, from that first set that I haven't yet pre-edited for the longer list. I think that might be one of them. A.

Assuming this has been resolved.

Heads up:

Tour of the south complete.Plan on sending 10 files in about a week. I'll send a copy to Vila and hope they can get a connection fast enought to send. Will also send a copy (memory card) by mail.

Kaitip will be presenting our work at a conference in Vila the beginning of the fourth week in September, I think. If it's possible to get some of the newer files up by then, that would be great.

In any case, would it be hard to send a memory card with the latest version of the off-live version?

If Kaitip will be presenting the work, how about he does the Bislama translation in time to present it in Bislama?! ;) We could send an updated offline version once Jakob is back from holiday, but only if we sacrifice time from (as always) critical urgent work for the CoBL deadline this month... :( I'll ask Russell to choose.

It looks like Kaitip has done a translation of the word list. I'll get on him again about the rest of it. He's not one to stress too much over anything, though, it seems.

The off-line version can wait, really, if producing it is not frictionless. (1) It makes enough sense to wait until the southern languages are included and (2) people seems impressed enough by the late-June version.

Not sure I responded to this one. There are 10 that never made it out of "52 purgatory" (that I never got to edit longer versions for). That might be one of them. While I'm in the field, editing them is just too low on my priorities list to expect that it could actually happen. If it needs to happen, though, just tell me and I'll bump it up the list. A,

It's true it's not on the sheet. If there's a selcted version, though, it means I do have atranscriptions. Will dig it up in the next half hour.

Kate is uploading 10 (I think) sound files from the south. They're going into "don't worry about" until I get the transcriptions to you. But -- heads up ! -- I expect that to be in the next week or so. If it fits with your schedule for everything else, it would be great to have those up for when Kaitip will be presenting the site in Vila the first week of October.

For some advance planning here, to see how much work there will be for Laura to do, could you let us know a rough number for how many new recordings you expect to be making overall, and getting back to us here in Leipzig, before the end of the year? Do you have a date when you'll be leaving Malakula next? Perhaps sending a last batch back with Heidi in late November or something?

That basically is the last batch. I'll have two more to cover one last language, but if that gets up quickly or not will be absolutely irrelevant. In Malakula until the end of December and on a forced march to finish "the culture list" and test different tests of multilingualism (Russell's most recent inspiration (courtesy of NIck Evans: "multilingualism is a driving force in human history").

Hi! I was looking up the sound file for Wala: Botku and found that we only have transcriptions of it on Owncloud, but no sound. @AvivaShimelman Could you add this to your "to upload"-list, too, please? As there are transcriptions, I think there should be a selected version, too. Thanks a lot!

Hi, Although the site is looking more and more finished, we realized that there are still some wholes left in the data, especially concerning the sound of the older files.

Of the following languages/dialects we only have sound of 52 words:

@AvivaShimelman Aviva, could you please check if you have a preselected version of any of these files? And if not, preselect them and upload them to Owncloud? Darja Appelganz will probably soon be working with us, an old soundcomparions colleague :), and she could do the cleaning up and tagging of those, so that the Malakula site soon could be complete. Indeed. Those are left over from the first, "pilot" version of the page. Those were chosen as the first dialects to represent those languages. When we expanded in May, second dialects were added and the plan was to "lengthen" those after. You have the transcriptions, I think -- although I should check them -- ; that, along with pre-editing those files probably cashes out to about two and a half days' work. Not prohibitive, but, also, not at the top of the list, although, PAUL, it can be promoted if you want it to be. Otherwise, you can't count on it until late January. Just let me know.

The list you just sent corresponds to mine. Other files may have "gaps" but are complete (or as complete as they can be -- often I knock out as many as a dozen words when it turns out, after comparisons with other recordings from the same or similar languages, they're not semantically equivalent). Additionally, one of the Neverver recordings has an enormous hole, where a chunk of the recording was lost.

Hi, Laura,

As far as I can tell, all are accounted for. The ones in "done" along with the two still sitting "out" in "to clean up" account for all the new "first round" recordings. Then, yes, 8 more for the new "second round." At least that's what I have on my "pasting into Access" sheet. Which does it look to you to be missing?

I do have a copy of a "selected" sound file for that one. I'm trying to upload it now. (If you want to poke about and see if you can find it in some non-habitual place, it's wl_160032_Wala_05_Botku).

Hi @PaulHeggarty Aviva has reported that there are changes concerning the Natangan recording "Oce_Van_Mal_Int_Sth_Letemboi_Natangan_Dl". It should not be listed as a variety of Letemboi anymore, but is a language of its own (see Aviva's comment below, originally brought up at issue #350)

In a separate note: Natangan, although related to the nms / lete1241 languages, is definitely an independent language. Please correct that in Access.

Fine to correct this, but only if I know what to. Remember that I do not create any file names, they are created by the classification structure in the For Pasting excel file. If the name needs changing, that means that the classification structure needs changing. That includes the name segments to give at level 6 and level 8. Once that is updated to what it should be, signal that here and only then will I be able to 'correct' anything in the Access database.
