We need to set up MTL 3.5 Red consults in the Sim UI (i.e we need to export their data) in order to email them a MTL report.

Update MTL 3.5 Manual to include how:

FYI: @dlkibbe @jamesmrollins @lijenn, I captured the information below from a recorded systems_sme_workflow meeting (Aug'23). Unsure of all content relevancy since this example was a MTL Blue team (my understanding is this card is referring to the Red teams procedure).

Feedback is welcome! If this is a good start to the documentation needed, I will add to MTL manual via QA branch creation.


Create a Team Data File for the Sim UI

(?section 7.6, under Download Team Data and Name File for Import to Sim UI)

Example used in this section: An upcoming meeting with MTL Blue site: SITE INFO. Inputs for this example are notated within parentheses below.


Steps from systems_sme_support_workflow 8/22/23:

  1. LZ selected PCT in the Select Clinics green box; selected those clinics, selected Specialty Mental Health in the second green box; saved it as the PCT dataset SITE INFO.
  2. Low flow for team care given a smaller number of sites that are referring to PCT. The Team Data for Export worked quickly with the Team Flow Selections made. LZ saved the Team Data for Sim UI to the Team PSD Clinics folder and to the mtl_3.5_blue_test_SITE INFO MS Teams group. Next, log into the Simulation UI TEST instance (via a facilitator log-in) at https://mtl.how/sim_test. From the Facilitator Dashboard, click on Settings. Click on Add for Facility Team Setup. For this example, we added a VISN from the email in mtl.help@va.gov. Also added Mark and Joshua. From the left-hand data menu, click Add. Add it to the individual and team world by selecting the two checkboxes. Click Upload to upload the data file. Click the Home button from the Facilitator Dashboard. ?Make sure the auto-adds for each team are: Lindsey Zimmerman, Debra Kibbe, David Lounsbury; consider adding the QIICs. Remove Emily M.

Bookmark Clinic Selections

  1. Go to mtl.help Outlook inbox and find the most recent message with that site. For this example, an email titled "RE: Modeling to Learn - WSNC VISN_SITE INFO."
  2. Go to mtl.how/data to access Power BI.
  3. Select VISN (21) in the left-hand navigation area.
  4. Click Clinic Selection in the left-hand sub-menu list.

Note: If you've already worked with multiple sites and visited the same VISN, you may need to use the eraser tool (image showing eraser tool) to clear all your prior selections before proceeding with the next step.

  1. Select Sta3n (SITE INFO) & Division Name (SITE INFO) in the Filter by Division Name box.
  2. Make your clinic selection(s) in the Select Clinics to Generate Report Data.
  3. Click Apply.
  4. Go to the Bookmarks drop-down menu and click on Add a personal bookmark. (image)
  5. In the bookmark name field, use Team PSD convention for the name: Sta3n, Division Name, Date in yyyy_mm_dd format (SITE INFO), then select Save.

Export Clinic Selections

  1. In the left-hand navigation column, under the desired VISN, click View Clinic Selections.

  2. Hover to the right of the Clinic Selections column until an icon menu appears. (image)

  3. Click on the ellipses (More options).

  4. Scroll down and select Export data. A "Which data do you want to export?" window will appear. (image)

  5. If needed, select the radio button next to "Data with current layout." (This is usually selected by default.)

  6. Click the Export button. The file will be exported to your browser's download location.

  7. Open the exported file.

  8. Save the file under NCPTSD > Shared Research > TeamPSD > Clinics > choose the correct clinic folder or you may need to create a new folder if one does not already exist (SITE INFO).

    Tip: Use the clinic selection table (mtl_site_list_sta6a_SITE INFO_08_09 (version 1).xlsb to find the full Sta6a (SITE INFO).

  9. Rename the file using the convention Sta3n_clinic_selections_geo-location_Division Name (SITE INFO).

    Note: Keeping the clinic selections and saving them to the TeamPSD folder is best practice because ...

Bookmark Team Flow Selections

  1. In the left-hand navigation pane, under the desired VISN, select Team Flow Selection.
  2. In the Filter by Division Name box, select desired Sta3n (SITE INFO), then click Apply.
  3. Again, in the Filter by Division Name box, select Division Name (SITE INFO), then click Apply.
  4. In the Select the Team Clinics that my Team Refers to box, select desired team flows (searched for PCT and selected all).
  5. In the box just below, select the radio button next to Specialty Mental Health (SMH, e.g., SUD or PTSD) because PCT is a specialty mental health program.
  6. Press both Apply buttons. (image)
  7. Go to the Bookmarks drop-down menu and click on Add a personal bookmark. (image)
  8. In the bookmark name field, use Team PSD convention to enter the name: Sta3n, Division Name, Date in yyyy_mm_dd format (SITE INFO_2023_08_22), then select Save.

Export Team Data for Sim UI

  1. In the left-hand navigation column, under the desired VISN, click Team Data for Sim UI.

Note: Be patient; it can take several minutes for the information to load.

Note: Without making some form of clinic selection for team flow, you get a timeout error because it exceeds the available resources because you haven't filtered down your clinic selections enough and it is trying to calculate parameter sets for the entire VISN. (image showing error message)

While this file is exporting,

  1. Open MS Teams and navigate to the MTL team channel for the desired team (SITE INFO).
  2. In the upper navigation menu for the channel, select Files.
  3. Return to the exported file location (TeamPSD > Clinics > SITE INFO).
  4. Drag and drop the exported files (clinic selection and flow selection files) into the correct MS Teams Files location.

Upload Team Data to Sim UI
