[BUG]: App Archive and Clean Up - Check Approvals and Archive flow from COE Starter Kit doesn't work

We are using App Archive and Clean Up - Check Approvals and Archive flow from Starter Kit . We want to get unused Apps and Flows to get archived. Through Admin | App Archive and Clean Up - Start Approval flow it does send the Approvals, and even after users sending approvals ; apps are not getting archived as second flow "App Archive and Clean Up - Check Approvals and Archive" never completes through all Environment variables e.g. SharePoint Site URL and Library are in place.

To Reproduce Steps to reproduce the behavior:

We have saved the flow as "Copy of - Admin | App Archive and Clean Up - Start Approval & Admin"

1. Go to 'Copy of - Admin | App Archive and Clean Up - Start Approval & Admin'
2. Click on Edit to edit the flow
3. Run test to start the flow , it keeps on spinning but nothing happens and then it errors out as below :

Expected behavior It should archive the Apps which are approved by the owners/admins.

Yes, it does have. And it also sends approval tasks to the owners. Now, even when owners getting the approval task approved and Archival Response Entity getting updated ; Apps are not getting archived in SharePoint.

Could you share a screen shot of the run history please? This way we can see where the delay occurs that is timing out.

The time out happened because the test expects the trigger to be instantiated by an approval process, not sure if you were doing that. Can you validate?

1) Go to the 'Copy of - Admin | App Archive and Clean Up - Start Approval & Admin' 2) Run the flow 3) When it completes, validate that you have an approval at your disposal with which to test 4) Go to 'Copy of - Admin | App Archive and Clean Up - Check Approvals and Archive' 5) Click on Edit to edit the flow 6) Click "Test" to start the flow , select "I'll perform the trigger action" and then "Test" 7) Now click Approve in the mail that you received.

Please let us know if this still fails to run.

Yes this trigger and the subsequent flow works for us, and we have not seen this issue you are reporting before. That is why I am asking questions to narrow to the point of failure.

Thanks for confirming that you see values in Archive Approval, Approval Request, and Approval Response tables. I was asking you to do this in order to ensure the steps to create them executed correctly.

The next thing I want to check is that the connector inside the flow was set up correctly, and that you have the correct scope. Can you please open the "Check Approvals and Archive" flow in edit mode? And take a snapshot of the trigger for me? It will look like this.

If its on, perhaps you need a different scope than the default one given?

Vimmi, after a little more investigation, I'm pretty sure the issue is that the scope should be organization by default and not business unit, for cases like yours.

The whole last week , I was struggling with my Admin account . It’s up now. This is the error, we see :

InvalidTemplate. Unable to process template language expressions in action 'ParseJSON-_Archive_Approval_Item' inputs at line '1' and column '11295': 'Required property 'content' expects a value but got null. Path ''.'.

If you see above screenshot, it’s passing “null” as output . We had discussed this with Microsoft PowerApps Support Engineer but they couldn’t find a fix for the same and asked us to contact Github support.

Actually , it has become a show stopper for us now. Can we discuss this on call and sort this out tomorrow ?

We had set it to Business Unit previously, which will now be fixed on the next release of CoE, so it sounds like like you fixed that. Which is great! It also sounds like you have gotten past the failure we were debugging above about the failure of the flow to trigger at all, and this failure is occurring on the run of the flow, is that correct?

We worked with Microsoft PowerApps Support Team on this and we were getting this error in the beginning also. But, then it stopped coming and flow didn’t start at all. It has resurfaced now .

How can we confirm for “Filter Archive Approval to get item” , it is meeting the criteria as somehow I can’t confirm it from Entity’s records as above because of the view restriction . What do you see at your end ? I think the flow failure reason might be , because Approval Id is not equal to the Approval Response value . Can we change the filter query ?

Great question. Go to your latest run and open the trigger which should have succeeded now, open it to view the output

The filter in question uses that first value shown, so grab that value. "_msdyn_flow_approvalresponse_approval_value": "xxxxxxxx-xxxx-xxxx-xxxx-xxxxxxxxxxxx"

Now go to "List Archive Approval Tasks", which likely now looks like the below if you required pagination. Hit click to download and the results will open in the new window.

In the resultant window that opens use Find to locate the GUID you got from the trigger. "admin_approvalid":"xxxxxxxx-xxxx-xxxx-xxxx-xxxxxxxxxxxx"

If found, then the filter will work. Here is the filter as shown in advanced mode so you can double check it is still correct:

If not found, then ensure you have set up pagination with a big enough threashold, you can set to 10000 as the largest it takes.

Browse to the Archive Approval table and click Edit Data in Excel

Click Enable Editing if you see that business bar at the top

Search for your GUID (will be in the Approval ID column). If you do not see it, search for the App Display Name for your test case and see what is in the column, perhaps you have copied the incorrect GUID.

That is the correct output types, so thats good. Excel can't be empty, or that would mean the table was empty. Do the columns look correct? Matching the output you saw? Did you see the business bar refrenced above? Do you see this and did you hit refresh

Hey Vinmi, given the age of your install, and the amount of problems you are having, I would suggest you upgrade to the latest version of the CoE toolkit before we continue to debug. I will also suggest that we close these issues as they change rather than continuing with a single issue for multiple concerns. This one, for example, was originally to track the lack of the trigger firing. Please upgrade the toolkit, see how you proceed with the newer bits, and then only reopen here if you return to the original issue of the failed trigger, else please post new issues for new problems you see. Please confirm 1) That the scope is correct in the trigger. As described above, this was shipped incorrectly and the fix is on its way out, but hasnt quite been released.

2) Go to your latest run and open the trigger which should have succeeded, open it to view the output:

The filter that is returning null later in the flow uses that first value shown, so grab that value. "_msdyn_flow_approvalresponse_approval_value": "xxxxxxxx-xxxx-xxxx-xxxx-xxxxxxxxxxxx"

Now go to "List Archive Approval Tasks", which likely now looks like the below if you required pagination. Hit click to download and the results will open in the new window, search for the GUID found above.

Great, so our test case will be this app. I'll want to see all the fields for both the app as recorded by Power Platform, and the entry in the Archive Approval table of the CoE. Please create a little flow as shown below and then paste the body of the output for both steps.
