Logs below ''' [2022-02-27 18:00:32] MoneroKon Planning meeting time [2022-02-27 18:00:43] Agenda here: https://github.com/monero-project/meta/issues/667 [2022-02-27 18:00:45] 1. Greetings [2022-02-27 18:00:47] → sgp[m] joined (~sgpmatrix@2001:470:69fc:105::3825) [2022-02-27 18:00:53] Hello. [2022-02-27 18:01:01] hey msvb-lab [2022-02-27 18:01:12] [telegram] Hi! (first timer here) [2022-02-27 18:02:11] @Elezsh welcome [2022-02-27 18:02:24] [telegram] Thank you ;) [2022-02-27 18:02:30] <ajs[m]> hi [2022-02-27 18:02:42] 2. Update on CCS status/XMR>fiat transfer [2022-02-27 18:03:14] i am not sure if binaryFate is here to give an update, but as far as i know the XMR has been transferred to fiat (last Monday i believe) [2022-02-27 18:03:48] this was the message/update then "I've just converted the 328 XMR from the CCS to EUR, at 129€ / XMR. Total 42,312€. Should be in DR bank account and usable in a day or two." [2022-02-27 18:04:05] are there any questions/comments on this? [2022-02-27 18:04:23] [telegram] If there's any need, now or in future, to do XMR->Fiat p2p in Berlin. I am in need to convert some EUR every month to XMR [2022-02-27 18:07:23] 3. Update on questions for venue (midipoet) [2022-02-27 18:07:49] there has been no reply from Arroz yet on the request to get a more robust/complete contract sorted(that we can sign asap). [2022-02-27 18:08:10] they have responded to all our previous questions, though, the replies may be found on the Cryptpad [2022-02-27 18:08:18] https://cryptpad.disroot.org/pad/#/2/pad/edit/NnjBlAV78oEKScZKVnqMOtox/ [2022-02-27 18:08:27] that includes a link to the fllorplan/measurements of the venue [2022-02-27 18:10:10] [telegram] I'd love to help out with organizing activities for children. If there are any ongoing efforts toward this - I'd love to tap into that and contribute [2022-02-27 18:10:21] I couldn't find the answers pad from the original pad, but the answers are good. [2022-02-27 18:10:41] Especially the floor plan with dimensions. [2022-02-27 18:11:04] msvb-lab: ah. maybe i am running a different file? i didn't think i was [2022-02-27 18:11:51] I was searching on https://cryptpad.sethforprivacy.com/kanban/#/2/kanban/edit/rwA2SvWZH1p-jnHwHUUK2jx8/ [2022-02-27 18:12:05] ...which is a good pad, but doesn't include the venue questions and answers. [2022-02-27 18:12:09] msvb-lab: ah yes - we have moved to Disroot [2022-02-27 18:12:55] this is the working Kanban [2022-02-27 18:12:56] https://cryptpad.disroot.org/kanban/#/2/kanban/edit/dXRhQNnsd3eLZelrDTAyK-eZ/ [2022-02-27 18:13:13] all other links on that link to the Disroot files (which were transferred over by carrington[m] ) [2022-02-27 18:13:54] @Elezsh this is a specific meeting for MoneroKon 2022, which will be held in Lisbon on (we hope) June 18-19. [2022-02-27 18:14:14] does anybody have any outstanding questions for the venue? [2022-02-27 18:14:31] i am hoping that we will hear back from them tomorrow, or at the latest on Tuesday [2022-02-27 18:14:50] [telegram] Yes. That's what I meant. I know msvb-lab has been working on activities for kids, and was thinking of contributing towards that. [2022-02-27 18:14:50] [telegram] I'm currently in Portugal, FYI [2022-02-27 18:14:51] as i know we really want to publicise the venue and data asap [2022-02-27 18:15:16] Elezsh is aware this is a meeting, as I invited them here. [2022-02-27 18:15:45] ok - great. @Eleszh were you thinking of maybe a kids focused event for MoneroKon 2022? [2022-02-27 18:16:12] we could definitely consider this. though i am not sure how many kids will be present at that event [2022-02-27 18:16:16] ⇐ mfoolb quit (~mfoolb@gateway/tor-sasl/mfoolb): Ping timeout: 240 seconds [2022-02-27 18:16:52] It would be too bad if we have no kids around, but much worse if we don't offer family friendly programming because 'there will be no kids anyway.' [2022-02-27 18:17:33] msvb-lab: this is a fair point [2022-02-27 18:17:48] [telegram] I was thinking of building off of what msvb-lab has been working on. [2022-02-27 18:17:48] [telegram] If kids focused event for it makes sense, then yes (maybe you know better than I do how many kids to expect. I know I'll be bringing mine ;) ). [2022-02-27 18:17:48] [telegram] But even just a few activities make sense [2022-02-27 18:18:20] my kid will also hopefully be there (though only 14 months) [2022-02-27 18:18:20] <ajs[m]> +1 for having a bouncy castle [2022-02-27 18:18:37] a monero bouncy castle would be pretty damn cool [2022-02-27 18:18:43] [telegram] Or something like inflatable castles, or whatever. Things along these lines. [2022-02-27 18:18:43] [telegram] And maybe finding a few volunteers to organize activities, that focus on fun+freedom+privacy [2022-02-27 18:18:57] [telegram] (you beat me to the castle idea. hehehe) [2022-02-27 18:19:57] @Elezsh i think we could definitely do something. can you firm up a proposal, and maybe we can discuss at the meeting next week? in the meantime, you could add a ticket item to the Kanban board? [2022-02-27 18:20:17] [telegram] I sure can ;) [2022-02-27 18:20:39] → lockhead[m] joined (~lockheadm@2001:470:69fc:105::470e) [2022-02-27 18:20:54] there will be spaces for workshops both on the main track and side track (i imagine), so no reason not to have something pencilled in. if you need any specific requests from venue/us, just let us know [2022-02-27 18:21:16] 4. Sponsor tiers (ajs) [2022-02-27 18:22:05] <ajs[m]> I looked at what is offered at other crypto conferences and came up with this list [2022-02-27 18:22:15] <ajs[m]> https://drive.protonmail.com/urls/FSGAD850BW#jiGgUkLgxoLM [2022-02-27 18:23:45] <ajs[m]> i have no idea what the appropriate price for each package should be [2022-02-27 18:24:53] maybe we should think about how many of each tier we would like, and then divide that into how much money we think we might need [2022-02-27 18:25:11] like, would we want more than 1 cypherpunk hero? [2022-02-27 18:25:38] i added the file to Cryptpad as well: https://cryptpad.disroot.org/file/#/2/file/WWRKzUoiKXZIb8X7uVBwrrd7/ [2022-02-27 18:26:16] maybe 3-2-1-1? [2022-02-27 18:26:36] or 4-3-2-1 (that would make 10 potential tables?) [2022-02-27 18:27:29] ajs[m]: we could also add invites to the speakers dinner to the higher tiers? [2022-02-27 18:27:30] <ajs[m]> the sponsorship price offered at this bitcoin event is ridiculous https://b.tc/conference/media-kit [2022-02-27 18:27:45] lol [2022-02-27 18:28:08] 1m is a lot [2022-02-27 18:29:01] <ajs[m]> crazy [2022-02-27 18:29:12] in theory, all we need is €25k plus the shortfall from the last CCS (market rate drop) [2022-02-27 18:29:20] or do we want to aim for more than that? [2022-02-27 18:29:37] (where the €25k is the cost for speakers/volunteers) [2022-02-27 18:30:51] <ajs[m]> €4-5k for media sponsor to cover A/V costs maybe [2022-02-27 18:32:27] <ajs[m]> we can think about it more once we get more ahead in estimating the actual costs [2022-02-27 18:33:03] ajs[m]: yeah, makes sense. [2022-02-27 18:33:33] are there any other questions/comments on the sponsorship? [2022-02-27 18:34:10] <monerobull[m]> If there's only 10 tables I guess getting one as a small vendor won't make sense [2022-02-27 18:34:41] i will add lanyards/tote bags/badges to the kanban board - as we have yet to discuss this, and will need to get moving on designs [2022-02-27 18:34:58] msvb-lab: had you considered badges? [2022-02-27 18:35:29] Electronic badges are not possible, take about one man year to design and produce. Of all the community we would get about zero or maybe one badge staff. [2022-02-27 18:36:03] A typical community produces about a dozen badge staff per event, so that makes electronic badges possible in most events. But ours is a different story. [2022-02-27 18:37:45] msvb-lab: what about some form of hard-case (for something cool) [2022-02-27 18:38:59] With a capacity of 120 (according to the floorplan) it may be possible to 3D print. Acrylic laser cut is possible as well as wood and leather. Fibre cutting steel (1mm) is possible as well but much more expensive than C02 lasers. [2022-02-27 18:39:28] Is that what you mean by hard case, like cutting and engraving solid materials to a form? [2022-02-27 18:39:39] <ajs_[m]> for reference, this is the badge from the first monerokon https://mobile.twitter.com/sethforprivacy/status/1482021445698043908 [2022-02-27 18:40:04] also, i wonder if gnuteardrops[m] would be interested in doing designs for MoneroKon swag stuff as well (badges/t-shirts/lanyards)

[2022-02-27 18:40:46] ⇐ LyzaL quit (Lyza@gateway/vpn/protonvpn/lyza): Quit: Leaving [2022-02-27 18:41:01] ajs[m]: so that is really just a fancy lanyard. though, i guess that is all badges ever really are ;-) [2022-02-27 18:41:55] the 2019 badge was just a standard one that you would get at any conference
[2022-02-27 18:41:58] it was a nice design and had a lanyard [2022-02-27 18:42:33] <ajs
[m]> custom designed lanyards with sponsor logos shouldn't be too difficult to source [2022-02-27 18:42:37] ok - i will see if gnuteardrops[m] is interested in designs, and i will ask G+H to source a printers/manufactures for some of the swag. [2022-02-27 18:42:49] are there any other questions on sponsors/swag? [2022-02-27 18:43:31] 5. Updates from kanban board (if applicable) [2022-02-27 18:43:44] i made a draft agenda [2022-02-27 18:43:46] https://cryptpad.disroot.org/sheet/#/2/sheet/edit/QDhnIOd-LMu+JNUL4pToFiJ5/ [2022-02-27 18:43:53] it filled up quick [2022-02-27 18:44:08] but i am open to suggestions/comments/improvements on the draft [2022-02-27 18:44:20] my personal thinking is there is not enough downtime [2022-02-27 18:44:30] <deverick[m]12> I would only caution our budget on swag without sponsorship. I know the post mortem from 2019 specifically mentioned this as being poorly managed. [2022-02-27 18:45:04] deverick[m]12: this is a good point. i think we could aim for minimum swag and then build out when we have more certainty on extra funds [2022-02-27 18:45:59] <deverick[m]12> Here are some of those notes: Some promising but ultimately fruitless sponsorship talks led us to include t-shirts under the assumption of additional income. In future years, t-shirts should be sold and some projected income from t-shirts should be budgeted. Rehrar can help us project future numbers based on size of events. [2022-02-27 18:45:59] <deverick[m]12> In future years, sponsorships should be added to both the projected budget and actual budget only after money is in hand. Promised money is worth nothing. [2022-02-27 18:45:59] <deverick[m]12> Properly budgeting for swag bags is important and delicate. Future organizers should get a swag bag budget from their steering committee. [2022-02-27 18:47:01] — deverick[m]12 posted a file: (20KiB) < https://libera.ems.host/_matrix/media/r0/download/nokyc.im/WAynHxTdpZkGfFAOTGosWaOl/postmorto.md > [2022-02-27 18:48:42] deverick[m]12: we had budgeted for minimal swag in the original budget: https://docs.google.com/spreadsheets/d/1Ls-U_F6DPjm0kpXwzz-noLLKR5Ti42gffj31LcoINc8/edit?usp=sharing [2022-02-27 18:49:10] → mfoolb joined (~mfoolb@gateway/tor-sasl/mfoolb) [2022-02-27 18:49:24] are there any thoughts on the Agenda, or shall we move on? [2022-02-27 18:49:52] if anybody wants to change/improve anything on that draft Agenda excel - please do [2022-02-27 18:49:54] <deverick[m]12> Not loading for me - I'll review later [2022-02-27 18:50:11] deverick[m]12: ok. just let us know if anything pops out [2022-02-27 18:53:04] 6. Agree next steps [2022-02-27 18:53:46] ok, so i will track down the venue contract this week, and try and see if someone is interested in helping with design roles (as there are a fair few design tasks that we will need done). [2022-02-27 18:53:58] is there anything else urgent for this week that needs done? [2022-02-27 18:55:36] [telegram] Will follow up with the venue for the amendments to the contract to include the itemised invoice from the original agreement that we have now [2022-02-27 18:56:13] [telegram] How can i visit. I am from portugal [2022-02-27 18:56:31] @manhuichi - ah, cool! also, can you source printers for swag gear in Lisbon? [2022-02-27 18:56:56] and maybe price tote bags and t-shirts so we know where we stand [2022-02-27 18:57:43] 7. Any other business [2022-02-27 18:57:45] aob? [2022-02-27 18:58:56] ⇐ mfoolb quit (~mfoolb@gateway/tor-sasl/mfoolb): Ping timeout: 240 seconds [2022-02-27 19:00:39] ok. i think we can adjourn the meeting for today. same time next week folks [2022-02-27 19:16:41] Great meeting everyone, thanks for the moderation midipoet.
