Need Improvement & access in about:credits process.

I am Shahbaz, one of the credits team members.

Let me explain, how we process as of now:

Each month, we go through the entry submitted on this spreadsheet via this form, and following "made a significant investment of time, with useful results, into Mozilla project-governed activities" takes a decision to include or reject the entry.
Run a modified script to get the email of the selected entries. Without inserting the names to names.csv
Send a confirmation-cum-approval email to all the selected entries with a deadline before we proceed with the PR to this repository.
After the deadline, we raise PR and Merge.

One thing that people often ask us is why the confirmation email is not from @mozilla.com domain, so we are requesting credits-team@mozilla.com to send confirmations to the approved entries.

And some important discussion we want to have are:

How to solve the issue of someone filling on Mozillians behalf?
Improving the description of the form to make it simple and clear for everyone, that what we are expecting from Mozillians to put in their form.
Should there be a separate process for the Mozilla Staff?

I believe that if emails will be sent from credits-team@mozilla.com, it would make it seem more legitimate than explaining our legitimacy every time.

I think it's an important part of the Mozillian experience. Adding someone's name to the credits page is a very good gesture to appreciate someone's contributions. Although, in doing so, if we get a bad apple from the person who's filling the application on someone's behalf; it's difficult. I think we should add a section in the form to their name and bugzilla account details to safeguard the procedure. When asked, we'll be able to have an answer for the applicant, and if something goes wrong, we can blacklist them for future.
Description could be better, yes.
We can add a tick-box for "Is the contributor a Mozilla Staff member?"

We can look into more possibilities and discuss it further.

Hello, Pratik this side. I'm one of the Rep from India.

To tackle the issue of someone filling on behalf of a Mozillian, we can ask for their community portal profile. We will continue further communication on email linked to that profile only. Since most of the Mozillians have a community portal profile it would be helpful to review.

Thanks @shahbaz17 for bringing it to the github issue for open discussion.

I believe we can improvise the system from the legacy of a public google form & manual review of all the entries. The new system can have prerequisites of a) solving these issues & b) easily maintainable approach with increasing entries for about:credits.

I just want to mention that the e-mail I recently received about being added to the credits was sent to the spam folder so I imagine having an @mozilla.com domain would help with this.

Thanks for the wonderful suggestions.

We had a meeting with Michael, and we are getting an email id very soon to send the confirmation emails.

The next step is to update the Credits FAQ and form description which will help us understand more about individuals contribution.
