Invite users who left a comment to share whether they received a response from the council, and publish their feedback on Planning Alerts

What is it? A follow up email to the Comment delivery confirmation email two weeks later to understand if the person has heard back from council. It includes a tick box survey for feedback. That data is then displayed in the comments section on the application page. It includes a step-by-step list of suggested next steps.

What we heard?

• There is no current way for Planning Alerts to know if a comment has been responded to.
• People have no visibility of whether comments get responded to.
• People are unsure of the whole process and how it works. More experienced residents know that they need to get in touch with council to pursue the matter further.

Hypothesis Follow up to comment delivery would:

• Give Planning Alerts some visibility of whether council is responding
• Give users visibility of response rates on comments
• Encourage participation because of visibility
• Give people who have commented support with suggested next steps to pursue the matter further.

Design specifications

• Track time from Comment confirmation email
• Send follow up two weeks later
• Include a question: Have you heard back from council with a tick box yes/no
• Make it clear they need to submit or reply to give the feedback

• Include suggested next steps: Steps might be:
  1. Contact the relevant planning authority planning department - here is a link to North Sydney council's home page, remember to look for 'planning'
  2. Find community groups in your area on Facebook or Meet up and see what others are saying about this application
  3. Contact your elected council representatives to inquire about the planning process
  4. Contact your state representatives
