Provide Support for HR Imports into Symplectic Elements for Digital Science #702

Closed jrgriffiniii closed 1 year ago

jrgriffiniii commented 1 year ago

As discussed during the meeting scheduled for 11/28/22, members of RDSS must support Digital Science with the process of providing the annual HR import.

Attempting to synchronize this using the existing PowerShell tasks has yielded no results, and I must please recommend that the spreadsheets be reconciled. Currently, the HR feed provided from the Office of the Registrar is structured with the following columns:

Please note that the HR feed provided by regularly-scheduled e-mail only contains records specifying students with theses prepared and submitted (hence, this will not satisfy the requirements for the new deployments).

https://princeton.service-now.com/now/workspace/agent/record/incident/bfd79ef21bf2b0d0ed5065b1604bcbf5 outlines the only viable approach which I would please propose as a feasible method for the new deployments.

Due to firewall restrictions, it appears that one can only access the CIFS mount for the HR feed using either the legacy production or legacy dev server environments.

jrgriffiniii commented 1 year ago

A SN@P ticket has been created requesting access for the Digital Science service account (dslica@princeton.edu) to this CIFS mount: https://princeton.service-now.com/now/workspace/agent/record/incident/d353dc9d87ab5914d1c6c8cd0ebb3580

The latest update specified in the SN@P ticket is the following:

I think you better check with Mark Ratliff as well. \dms-smbserve\bi-cisdr was set up for his team. As far as CeDAR's policy concerning access, if the access has something to do with data exchange with one of the systems we manage (Cognos, DataStage or Tableau) than we are generally OK with it. If someone is just looking for a drive to share, or store, files unrelated to CeDAR than the answer is 'no'.

This is being advanced with Symplectic Support with https://support.symplectic.co.uk/support/tickets/421535

jrgriffiniii commented 1 year ago

Digital Science has indicated that accessing the CIFS/Samba share is not preferred or possible for this approach. Instead, two possible solutions are proposed:

I am going to proceed with trying both solutions, and then proceeding with informing OIT and Digital Science of the best possible solution from what I can best determine.

jrgriffiniii commented 1 year ago

It is far likely to be easier to ensure that this is shared on a monthly basis using a Google Sheet, and I have shared this with Digital Science by e-mail, and I have updated the ticket https://support.symplectic.co.uk/support/tickets/421535 appropriately.

This must now be tested with the Standard HR importer, and following the verification that this import was successful, I can ensure that this is uploaded using the SFTP.

jrgriffiniii commented 1 year ago

Testing this currently blocked by #705

jrgriffiniii commented 1 year ago

This was confirmed as successfully tested, with the understanding that RDSS can, for now, proceed with uploading the HR feed export onto the FTP server provided by Digital Science.

jrgriffiniii commented 1 year ago

The LastPass entry for the FTP server credentials has been updated in support of providing the HR feed uploads to the resource Shared-ITIMS-Passwords\Digital-Science-Elements\symplectic_sftp_server

jrgriffiniii commented 1 year ago

I am not able to connect to the Samba share on smb://dms-smbserve/bi-cisdr from my local development environment, however from the legacy Elements hosts, I currently am. I will create a separate issues for this, and consider this to be blocked.

There is now in place a process for transferring the HR feed CSV file to the Symplectic FTP server. I have proposed that this be updated weekly on Friday by 16:30 UTC-5 with members of Digital Science.
