Organizing this with Pearl
Yay! :racehorse:
I am volunteering as a teacher for this!
:eyes: I just saw that you updated the original content with questions! (And cc @lilliealbert, since notifications aren't sent out on edits.)
I think we're close to getting a venue for this; I'll update this issue when it's a sure thing. :cactus:
Rachel,
Thanks for the updates. I've tossed together a brief agenda for the workshop itself (and the volunteer training).
Do we have an approximate $ cost per attendee for breakfast, lunch, and after party for the SF workshops? That way I can have some idea of costs to feed people on the workshop day. Even historical data should be good enough.
Zee
I would be glad to do a volunteer teacher TA training. I would suggest that since it has been a long time anyway, it might be good to do an event for anyone who is interested in or will ever want to volunteer who has not yet had rails bridge teacher teacher/volunteer training before.

Questions for @rachelmyers and @lilliealbert
What happens when people send emails asking questions? Do those go through bridge troll or? The organizer's email is visible through Bridge Troll and people will email you directly. Can we get the orgs who have hosted in the past and may be open to hosting? Yes. We may have a venue lined up soon. I'll post it here when it's for sure. Can we get the list of past sponsors that may be open to sponsoring this workshop? Yes, I think @lilliealbert and Pearl are working on this. Are there caterers we've worked with that we really liked? I always point people to Triptych, but there's a larger list in the cookbook What about childcare providers? Part of the RSVP on BridgeTroll is specifying childcare needs. If people need childcare, we normally post to the mailing list with the numbers and ages. We could get better at this. Where do we have checks sent and who is it made out to? Counter question: Is this for accepting donations? I'll dig up a link. Yes. - Zee What are the "Churn" metrics for SF? (i.e. 50 volunteers sign up, 5 show up?) For volunteers, I think 75% show up. For students, 60%-75%. Logistics (Venue, Sponsorships, Food, Etc)
Two co-organizers. @zspencer and Pearl Workshop Cookbook Set an RSVP limit that works for everyone - Currently ~45 Students Pearl - Venue - Best to support ~75 students, so ~120 people total we need space for Friday evening for the installfest and all day Saturday (9am - 5pm) for the workshop. Zee - Build agenda Pearl - $1.5K in Sponsorships (Would support a 100 person workshop) Zee - Line up Lunch Caterer BLOCKED by rsvp limit Zee - Line up Breakfast Caterer BLOCKED by rsvp limit Locate good location for afterparty near venue BLOCKED by venue Zee - Get childcare provider BLOCKED by publish on bridgetroll Decide on a target group - Women + Identified as Women Volunteer Training
Zee - Find Facilitator for Volunteer Training - April 9th maybe @mfjenn? Zee - Venue for Volunteer Training - April 9th 20~40ppl Marketing
Post the workshop to Bridge Troll Email recent volunteers??? Post the workshop to Meetup Day of Facilitators
3~4x Greeters (Check people in on Bridge Troll, get people into the building) Facilitator for intro/outro slides (What's going on, split people into groups, etc) Facilitator for student retro (Pearl) Facilitator for volunteer retro (@zspencer)

Installfest pizza is usually $250. Breakfast is usually =< $100, even for large workshops. Lunch is usually $200-$400, depending on fanciness and workshop size. And covering drinks for volunteers at the after party is usually about $150 - $200. When I talk to potential sponsors, I say $700 - $1200, depending on workshop size. (There are usually smaller expenses too, like babysitting and nametags.)
 on teacher training! That's a great idea!
@rachelmyers do you prefer to have 1 big sponsor, or several smaller sponsors?
The last one I did recruited some new teachers. :)
Shall we discuss potential venues off list?

@mfjenn I've created a separate issue for the volunteer training: https://github.com/railsbridge/organizing/issues/18
yeah, I'm down to email about venues / sponsors. :love_letter:
Can you clarify please Ms. Rachel?
Did you mean "I’m down to email…"?

yeah, sorry about the typo. Corrected it.
@SocialBee, want to chime in with where things stand with you?
We're trying to move organizing from emails (which are private and new organizers can't see) into the public space of GitHub issues (to be a record for future organizers to look through and learn from.)
I've got verbal commitment from Rackspace that they are willing to provide $1.5K for the April workshop; and possibly include further donations going forward.
@Socialbee / @ultrasaurus - I'm assuming if we raise more funds they can be part of that matching thing I've seen going by?
We have a venue!! Optimizely can host this workshop, and Ryan Jordan is coordinating things from their side!
:tada: :tada: :tada:
Great! How many people does the venue support?

Optimizely has confirmed max space is about 90. We have two large open spaces; which may make splitting people into groups weird. Thoughts?
Posted on BridgeTroll! Will post to meetup tomorrow or Friday. to let the people who are watching Bridgetroll get first dibs. http://www.bridgetroll.org/events/87
Holy mackeral! we're almost full already!
We have 1 request for childcare; I'm going to email the workshop mailing list to see if anyone is able to volunteer to provide the childcare.

Large open spaces are fine if we can cluster a few small groups in the corners or wherever. It may require teachers or roving volunteers to be sensitive to ambient noise and ask boisterous students (or teachers!) to bring it down a notch.
Installfest is in the same space, yes? Let's walk around then and feel it out.
How many different groups have people expressed interest in?
Hey Alex;
We've got people interested in all five levels (from absolute beginner to I did this a few times to puhleaze rails is for n00bs)
I think it should be fine. Looking forward to meeting you (again probably!)

http://www.bridgetroll.org/events/87 shows that the venue for the Install and Workshop has changed (again). Is the Teacher Training still on for tonight, and if so, is it still at Carbon Five SF?
The teacher training has changed to General Assembly, as per the email I sent out about 10 minutes ago.
