@sundaykofax, What do you think of jumping into this July workshop? It currently has 1 of 2 co-organizers, and the venue is still being sorted out. :office:

Other thing to note: this is a front end workshop and they don't include a Friday evening installfest, just all-day Saturday. :sunny:

And cc @subakva in case he has venue ideas; no pressure if not.

Hi @courtney and @vhmartini! Based on the Finding a space doc, what's the number of students the space can handle?

Looking at the sample budget, would you be able to provide lunch for students/volunteers? There's also the afterparty – is that something you'd be interested in sponsoring as well? @rachelmyers is the afterparty generally at a bar? Is it for just the volunteers?

Yep! The afterparty is usually at a bar; everyone's invited and if the budget allows we'll buy the volunteers a drink. :cocktail: (Sorry that's not written down anywhere!)

Hi all. @sundaykofax @elenawalom thanks for getting us involved, we're psyched! We can sponsor breakfast and lunch but perhaps another could do the afterparty. It would actually be nice to have a co-host listed. Maybe github? There is a bar just downstairs from C5 called Southside that you can reserve space at ahead of time. That would be a perfect place to go. Let us know if that sounds good and we'll reserve the space.

We have been able to fit 100 folks comfortably for events but for a Railsbridge workshop that might be pushing it a little bit. We do have enough chairs but desk space would be tight.

I should probably add that my name is Anna, and I just attended my second railsbridge last weekend and it was awesome and I would love to get more involved! So even if you have organizers but need more hands on deck for weekend of please let me know. I would love to help.

@aneyzberg Thanks for volunteering to organize! :blue_heart: If @sundaykofax and @elenawalom want extra hands, go for it! :smile_cat: But if it feels like too many cooks in the kitchen, the May workshop doesn't have any coorganizers yet!

@rachelmyers what's the optimal student:volunteer ratio? What can we do to get the total count to around 100? 75:25?

A pretty normal ratio is 3:2. I find it useful to set the RSVP for students at about 25% - 30% higher than I want (to compensate for no shows) for large workshops, and to take as many volunteers as I get. (For smaller 10 - 40 person workshops, I'll set a limit, though.)

Hey @sundaykofax @elenawalom - I don't see a BridgeTroll event for this. Are we set with organizers/space/etc? @jennielees and @aneyzberg have also expressed interest. If this workshop is set, let's find another workshop for them.

@elenawalom, could you confirm if you're still able to co-host? @aneyzberg @jennielees Yay! Thank you! @rachelmyers, another question, is it advantageous to have more than two co-sponsors, or is that time better spent coming up with a new event?

@sidhene I'm new to event coordination for this. I don't see any documentation about BridgeTroll. What needs to happen for it?

60 students and 30 volunteers should just fit. We've had around 100 folks in the space and it feels ok.

I should be able to attend and help out too. Is there anything I need to read up on prior?

@sundaykofax, :thumbsup: for multiple sponsors. Depending on what the sponsor wants, we could alternatively suggest one of the workshops that is still looking for a sponsor.

You're totally right; Bridgetroll isn't documented for new organizers. Maybe we can add the event together, and maybe create some basic documentation as we do??

@rachelmyers I misspoke -- I meant co-organize, not co-sponsor. Totally different. On BridgeTroll, I'm all for adding an event together and documenting along the way. I'll email you about setting up a time to do so.

I talked to @aneyzberg a few weeks ago via email to confirm she's still in, and she is. But I haven't heard back about a time that would be good for us to have a kick off, to make sure all the organizers are on the same page.

@courtney In terms of teachers, TAs, and helpers, we'll probably have enough volunteers. (They RSVP just like the students will.)

I set the RSVP limit for students at 75, thinking some will be no-shows and we'll end up around 60. Let me know if you want me to adjust it!

I'm going to hold of off publishing the event to Meetup since there are lots of people in SF waiting for spots. If it's not full in a week or so I'll publish it to Meetup.

I think there's some confusion between this and #24. I'm finding it hard to parse out exactly what's figured out and what isn't from the github issue conversations -- in the middle of a product launch right now so attention is somewhat divided. I'd like to help organize one workshop in July, I'm not too bothered whether it's front-end, Ruby or Rails, and I've realised I'm probably not the best person to take overall point as I haven't done this before. :)

@elenawalom, That's fair! Because the venue was only available for one day, we decided to do a Front-End workshop that wouldn't require an installfest the evening before. In retrospect we should have been more clear about that. :pensive:

If you'd rather organize a Ruby/Rails workshop, you could help out the workshop, in issue #24, that's happening a week after this one. Or you could be an organizer for the October workshop.

(If you'd like to teach instead of organize, that's my bad; I misunderstood you. You can RSVP to teach on Bridge Troll

So it looks like we have people for this weekend: 27 volunteers, and 75 + a waitlist of students! Yay! When should we meet at Carbon5 to set out name tags and open up a browser to sign people in? 9am? 9:30?

@courtney can you PRP breakfast and lunch, and let Rachel know if you have questions?

I don't have the front end skills to give an overview or the next stps, is there someone else who would like to? Possibly one of the teachers? I can definitely do the intro part, if someone wants to split it.

I'll definitely be there! :ok_woman: The next steps part should probably be limited to pointing people to the railsbridge next steps page, or this cool flyer of next steps, or this cool pinterest board of front end next steps or rails next steps pinterest board if they're interested. (People are constantly creating new collections of learning resources, but the one on the RailsBridge site is probably the most maintained.)

For the overview, I'd love to help; the Rails curricula have fun diagrams to use for the overview, and it would be cool to create something equally good for giving overview of the front end!
